This is a fully remote position, open to applicants in California.
• The Senior Program Specialist oversees the daily operations necessary to meet program objectives, takes responsibility for stakeholder requirements, and facilitates meetings to promote project progress.
• They guarantee effective collaboration with cross-functional teams and product experts to provide technology solutions.
• Additionally, they keep the Senior Manager updated on advancements, obstacles, and any needed modifications.
• An essential aspect of this position is acting as a knowledgeable and confident resource for users of the designated technology platforms.
• The ideal candidate will acquire in-depth functional knowledge of the tools they assist, rapidly mastering products to train users, guide them through workflows, document and replicate bugs, submit tickets, and ensure issue resolution.
• This role demands comfort in a dynamic and evolving product landscape.
• The ability to remain steady and solution-oriented when features, timelines, or workflows change is crucial.
• This position also necessitates strong change management abilities, especially in guiding users through platform transitions with tact, empathy, and professionalism.
• The Senior Program Specialist will mentor and support Program Specialists and may oversee the training, development, and assessment of staff.
• Manage technology-centered programs and projects from inception to completion, ensuring objectives, timelines, and quality standards are met while fostering continuous progress and stakeholder engagement.
• Develop profound expertise in assigned technology platforms and offer user support, training, workflow guidance, troubleshooting, and issue resolution for a variety of stakeholders.
• Collaborate with internal teams, product specialists, vendors, and clients to collect feedback, address business requirements, and ensure the successful deployment of technology solutions.
• Guide users through platform transitions and technology improvements by providing clear communication, training, and support that encourages successful adoption and minimizes disruption.
• Identify, document, and monitor platform issues; coordinate resolutions with technical teams; implement quality assurance protocols; and suggest enhancements to improve user experience and program effectiveness.
• A minimum of 3+ years of relevant experience in program support or coordination.
• Proficiency with Microsoft Office, Google Suite, Zoom, and other digital systems, platforms, and tools that facilitate collaborative work is required.
• Experience with Atlassian products: JIRA, Confluence, and Service Desk; familiarity with using JIRA to track project tasks is preferred.
• Experience in developing and achieving Key Performance Indicators.
• Project management experience is required.
• Experience applying an agile methodology to project management tasks is preferred.
• Knowledge of California Community Colleges and system partners, the public education environment, or other state agencies is a plus.
• Proven experience in change management practices, including stakeholder communication, transition planning, and user adoption strategies; adept at managing resistance with patience and professionalism.
• Demonstrated comfort working with evolving technology products; able to maintain effectiveness and confidence with users when features, workflows, or timelines are subject to change.
