This is a fully remote position, open to applicants in Mexico.
• Take charge of the bi-weekly payroll administration cycle in Paylocity by submitting precise payroll inputs to the payroll administration partner and auditing outputs prior to finalization to ensure the accuracy and timeliness of payroll.
• Oversee payroll updates for over 300 nonexempt/hourly employees, which includes managing timecard corrections, direct deposit updates, compensation adjustments, and termination payments.
• Review payroll registers before submission, identify discrepancies, and collaborate with external partners and People Ops to quickly resolve any issues.
• Maintain and implement a structured U.S. compliance calendar to ensure all recurring reporting and regulatory deadlines are adhered to.
• Prepare and coordinate compliance reports, including EEO-1, CA Pay Data Reports, OSHA 300 logs, and necessary annual filings.
• Monitor changes in state and federal legislation across approximately 35 states and communicate the implications for payroll, policy, or compliance processes.
• Collaborate with the Legal team on handbook and policy reviews, ensuring that updates are effectively implemented and acknowledged.
• Coordinate ACA reporting and non-discrimination testing with Benefits partners, guaranteeing that documentation is ready for audit.
• Review and escalate background checks, supervise quarterly health exclusion checks, and ensure that compliance training is completed by new hires.
• Lead the annual Compliance Refresh initiative, driving completion of required policy acknowledgments and training for both employees and contractors.
• Assist with internal and external audit requests by providing accurate and well-documented payroll and compliance records.

• Detail-oriented with a proven history of identifying payroll discrepancies before finalization and maintaining audit-ready documentation.
• Confident in working under tight payroll deadlines where accuracy is imperative.
• Capable of working independently in an offshore environment while consistently adhering to CT or ET working hours for U.S. collaboration.
• Comfortable functioning in high-volume settings with changing processes and uncertainty.
• A clear communicator who can collaborate effectively with cross-functional teams.
• At ease working in an environment where AI tools are integrated into daily operations.
• 3–5+ years of practical U.S. payroll administration experience, including supporting organizations with 600–1,000 employees and over 300 nonexempt/hourly workers.
• Experience in tracking, processing, and auditing payroll changes such as new hires, terminations, compensation adjustments, timecard corrections, clawbacks, and direct deposit updates with an external payroll provider.
• Strong understanding of the complexities associated with nonexempt/hourly payroll, including timecard corrections, off-cycle payments, and termination pay requirements.
• Demonstrated responsibility for U.S. multi-state compliance calendars and reporting, with hands-on experience in preparing EEO-1, Pay Data Reports, and OSHA 300 logs.
• Experience in managing recurring regulatory tasks such as non-discrimination testing, background check reviews, and policy and training acknowledgments.
