This is a fully remote position, open to applicants in Texas.
• Develop an Operational Framework: Create comprehensive dashboards to monitor ROI, revenue, margins, and intake conversion across the firm.
• Standardize Processes: Define, document, and implement Standard Operating Procedures (SOPs) for workflows encompassing intake, billing, and client communication.
• Establish Key Performance Indicators: Formulate KPI frameworks, reporting schedules, and accountability measures to assist the founder and team in tracking performance, identifying issues proactively, and enhancing execution.
• Systems Integration: Enhance the interoperability of Lawmatics, Docketwise, QuickBooks, LawPay, and other tools. Streamline workflows, improve data visibility, minimize manual handoffs, and ensure systems facilitate more effective decision-making in areas such as intake, billing, case management, and reporting.
• Leverage AI & Automation: Employ tools like Claude, Zapier-style integrations, CRM automations, and workflow automation to boost team productivity, decrease manual tasks, enhance consistency, and support high-quality legal service without sacrificing client care.
• Optimize Intake: Design and oversee a 24/7 reception solution to reduce missed calls and strengthen Service Level Agreements (SLAs).
• Lead Change Management: Spearhead initial projects for operational improvements and train the team on new systems and processes.
• Ensure Data Accuracy: Set data standards and guarantee timely inputs for informed strategic decision-making.
• Operational Accountability: Track deadlines, KPIs, workflows, and project advancement. Follow up with team members, identify issues early, and escalate performance or resource concerns to the founder as necessary.
• Experience in Operations: Demonstrated experience in operations within small to medium-sized businesses; background in law firms is preferred.
• CRM and Process Expertise: Direct experience with CRM management and process development, ideally with Lawmatics.
• Tech and Automation Skills: Familiarity with AI tools and integrations such as Zapier to boost firm efficiency.
• Data and Reporting Skills: Proficient in creating and managing analytics dashboards for tracking performance.
• Strong Project Management: Capability to plan and execute projects in a fast-paced environment with strong follow-through.
• Communication Skills: Exceptional clarity in communication, expectation setting, and maintaining accountability.
• Values Alignment: Committed to the mission and quality-focused, with a humble, low-ego demeanor.
• Education: A bachelor's degree is required; additional certifications are advantageous.

• Travel: Occasional travel to Houston may be necessary, approximately every couple of months.
• Growth Path: Potential for advancement from Senior Operations Manager to Director of Operations or possibly COO-level responsibilities as the firm expands.
