This is a fully remote position, open to applicants in Florida, +4 more states.
• Facilitate the onboarding process for new members of the Occupancy Planning team and maintain onboarding resources.
• Act as a Subject Matter Expert (SME) for Space Sharing processes, encompassing training, reporting, client communication, and remediation protocols.
• Coordinate workplace initiatives and operational tasks across different regions.
• Maintain and enhance tools and templates for occupancy planning on a continuous basis.
• Collaborate with cross-functional teams to aid in the development of new tools, templates, and improvements to processes.
• Establish and uphold systems for document retention and team management protocols.
• Assist in monthly and quarterly reporting activities.
• Serve as a representative for Occupancy Planning regarding workplace systems and associated operational processes.
• Address miscellaneous operational and client requests as required.
• Ensure consistency in the occupancy planning process and compliance with account deliverables.
• Act as a resource regarding the impact of client design guidelines on OP.
• Aid in the development request processes and coordination related to workplace systems and reporting.
• Participate in annual updates of the Occupancy Planning Playbook to ensure current processes and standards are accurately documented.
• Organize and lead training sessions and meetings for teams across regions.
• Maintain communication resources and team distribution lists.
• Act as a liaison between Lines of Business (LOB) client contacts and occupancy planning stakeholders.
• Coordinate and facilitate regular stakeholder forums and other communications.
• Update and maintain guidance documentation and communication resources for stakeholders.
• Respond promptly to client inquiries and operational requests with a solution-focused approach.
• Build strong working relationships with clients, partners, and internal teams through proactive communication and reliable follow-through.
• Assist in the development and coordination of monthly and quarterly deliverables for clients.
• Help with reporting, data validation, and the creation of presentation materials.
• Ensure accuracy and consistency in occupancy planning documentation and reporting outputs.
• A Bachelor's degree is required.
• 5 to 10 years of relevant experience in occupancy planning, workplace operations, facilities management, move management, project coordination, or related fields.
• A strong understanding of best practices in occupancy planning and workplace operations.
• Familiarity with design, project management, facilities management, or architectural concepts.
• Experience in supporting client-facing operations within corporate real estate or workplace settings is preferred.
• High proficiency in Microsoft Excel, including complex formulas, pivot tables, advanced functions, and reporting capabilities.
• Proficiency in Microsoft PowerPoint, SharePoint, Visio, and Word.
• Experience with space management systems, such as FMS.
• Excellent written and verbal communication skills.
• Strong organizational, problem-solving, and customer service abilities.
• Capability to work both independently and collaboratively as part of a team.
• Self-motivated, reliable, and detail-oriented with the capacity to manage multiple priorities and deadlines.
