This is a fully remote position, open to applicants in Tennessee.
• Act as a key resource and subject-matter expert in grants management, providing guidance to faculty, departments, and staff throughout the CCC.
• Evaluate proposals submitted by departments to ensure they comply with institutional and sponsor requirements.
• Extract data and analyze trends to aid in decision-making and strategic planning for the school.
• Tackle complex issues related to grant submissions and award management, working collaboratively with central offices and sponsors as necessary.
• Assist with proposals originating from the CCC Dean's office, including those for leadership personnel submissions.
• Offer pre-award and post-award support and training for CCC grants managers.
• Provide expert advice on proposal development, which includes budget preparation, sponsor certifications, compliance, and administrative requirements.
• Ensure that school-level approvals are included in proposal documentation.
• Collaborate with faculty and departmental personnel to fulfill sponsor deadlines and requirements.
• Execute application submissions.
• Identify and resolve challenges during the proposal preparation and submission phase.
• Supervise the setup of newly funded awards to guarantee compliance with institutional and sponsor guidelines.
• Serve as a liaison with central administrative offices to streamline award activation and fund management.
• Ensure the smooth operation of post-award activities.
• Generate budget reconciliation and forecasting reports, using these to regularly meet with faculty to review their financial statuses.
• Ensure adherence to requirements such as effort reporting, financial reporting, and progress updates.
• Function as a Human Capital Management (HCM) Costing Specialist, overseeing payroll processes.
• Complete timely journal entries as needed, including grant closeouts.
• Assist with rate setting and implementation for PI/Faculty-operated Service Center(s).
• Process salary verification letters in relation to proposal submissions.
• Provide interim account setups and courtesy extensions as needed.
• Undertake additional duties as assigned by leadership to enhance grants management operations.
• A Bachelor's degree, ideally in finance, accounting, business, or a related field.
• At least 7 years of experience in pre-award and post-award grants management.
• In-depth knowledge of federal and non-federal grant regulations and compliance standards.
• Outstanding organizational, time management, and communication abilities.
• Proficient in Microsoft Excel and grants management software.
• Experience collaborating with faculty on complex awards and familiarity with a diverse range of sponsors.
• Strong problem-solving skills, with the capacity to thrive in a fast-paced environment and manage competing deadlines.
• Advanced knowledge of research compliance and sponsor-specific regulations.
• Familiarity with the Vanderbilt University grants management ecosystem.
