• Take ownership of the complete logistics for all events, including booth materials, shipping, travel arrangements, accommodations, schedules, promotions, and on-site coordination.
• Oversee event calendars, deadlines, deliverables, and manage vendor relationships.
• Coordinate booth design, branded materials, giveaways, signage, audiovisual requirements, and the setup and teardown process.
• Arrange customer dinners, partner gatherings, and VIP-hosted events.
• Attend significant industry events to welcome attendees and confidently represent the gaiia brand.
• Support Sales and Growth teams during events by managing demonstrations, appointments, and booth traffic.
• Capture event photographs, videos, and important highlights for social media and internal summaries.
• Collaborate with the Marketing team to ensure alignment of assets, campaigns, and messaging with the event presence.
• Work alongside Sales to coordinate outreach before events and follow-ups afterward.
• Partner with Product and Leadership to arrange speaking opportunities, panel participation, and booth demonstrations.
• Maintain an organized inventory of booth materials and manage shipping logistics between events.
• Develop efficient processes that enhance event preparation and execution.
• Monitor event performance, ROI, and lead outcomes to inform the overall event strategy.
• 2–4 years of experience in event coordination, field marketing, or a related operational role.
• Exceptional organizational and project management skills with a strong focus on detail.
• Willingness to travel frequently to conferences and industry events across North America.
• Confident and friendly communicator who enjoys representing a brand face-to-face.
• Ability to manage multiple events simultaneously while collaborating with various internal stakeholders.
