This is a fully remote position, open to applicants in Canada.
• The Senior Lease Administrator, Client Lead is tasked with overseeing Lease Administration functions and implementations, managing relationships with clients and vendors, and centralizing, establishing, and generating schedules, reports, communication plans, and process flows for the Lease Administration team.
• Act as the primary point of contact for clients and internal stakeholders concerning lease administration issues.
• Grasp client business goals, real estate portfolio strategies, and service expectations.
• Maintain a comprehensive understanding of client agreements for assigned accounts, including the scope of work, fee structures, billing frequencies, and payee details.
• Ensure this information is accurately inputted and preserved as a client contract within WorkTrac.
• Conduct regular meetings and reviews with clients to provide updates on portfolios, key metrics, and performance reports.
• Develop and uphold robust client governance programs, including reporting schedules, communication methods, and business reviews.
• Monitor, maintain, and communicate all expirations, option exercise dates, and other critical details.
• Strive to achieve a net promoter score that reflects exceptional service delivery and client relationships.
• Proactively identify risks associated with accounts and create suitable mitigation strategies, managing projects through to solutions.
• Supervise and ensure the global team delivers services in accordance with client-specific processes and contracts.
• Engage in presentations to new or existing clients for business development opportunities.
• Set up weekly calls and maintain ongoing internal communications with global lease administration team members to review tasks, address outstanding issues, and determine appropriate actions.
• Prepare and deliver impactful communications with a professional demeanor.
• Confirm and authorize monthly client billing, ensuring all pass-through expenses are billed in line with contracts and internal processes.
• Review recovery clauses, establish recovery pools, calculate actual recovery expenses for each tenant, and assess caps, base years, and non-standard exclusions.
• Prepare monthly rental payment schedules, monitor accounts receivable for assigned clients, and escalate issues to relevant parties. Reconcile accounts with outstanding balances and collaborate with landlords and clients to resolve any disputes.
• An associate or bachelor’s degree in business, accounting, real estate, or a related field is preferred.
• A minimum of 5 years of relevant experience in the commercial real estate lease administration industry and/or accounting and property management, having worked in either (or both) the landlord or tenant sector.
• Practical experience with commercial real estate database applications like Visual Lease, APEX, ProLease, CoStar, WorkTrac, Lucernex, Planon, Manhattan, or other portfolio management systems.
• Proven expertise in managing multi-line global accounts with over 1,000 leases and a global account management framework.
• Intermediate proficiency with Microsoft Office tools (Word, PowerPoint, Excel, OneNote, etc.).
• In-depth knowledge of FASB / IFRS accounting standards and general accounting principles is preferred.
• Must demonstrate effectiveness and a successful history of working independently, ideally in a remote setting, and possess strong time management capabilities.
