This is a fully remote position, open to applicants in United States.
• Oversee Workday Financials & Grants Management Solutions.
• Act as the functional lead for Workday Financials and Workday Grants Management, collaborating closely with GCS, Research Administration, and Finance & Accounting within a higher education and research context.
• Assess, design, and enhance WHOI’s Financial and Grants Management systems and processes, utilizing Workday best practices.
• Work in partnership with GCS to ensure that Workday configurations align with sponsor terms, institutional policies, and regulatory standards.
• Facilitate the complete sponsored research lifecycle in Workday, encompassing award setup, budgeting, amendments, cost sharing, F&A, billing, revenue recognition, and closeout.
• Support essential financial management processes across General Ledger/Financial Reporting, Accounts Payable, Accounts Receivable, Procurement, Assets, Cash Management, and Financial Planning & Analysis while ensuring compliance with institutional accounting policies and best practices.
• Collaborate with Finance & Accounting leadership and business process owners to design, optimize, and govern Workday Financials configurations and controls.
• Serve as a key functional lead and trusted advisor during Workday implementations, enhancements, and optimization efforts.
• Organize and assist with system testing, user acceptance testing, and issue resolution in collaboration with business and technical teams.
• Support integrations between Workday and other institutional systems and tools.
• Create dashboards and metrics that aid in research administration, financial management, grants oversight, audit readiness, and leadership decision-making.
• Provide ad hoc reporting and analysis to meet operational and strategic demands.
• Offer ongoing functional support to Finance & Accounting, GCS & Research Administration, and the larger WHOI Workday user community.
• Oversee system enhancements, upgrades, documentation, and end-user training.
• Develop clear user guides, training materials, and process documentation tailored for a research environment.
• Proactively identify opportunities to enhance system usability, productivity, and overall user experience.
• Bachelor's degree in Accounting, Finance, Business Administration, or a related discipline.
• A minimum of 7 years of experience in supporting financial systems, with progressively increasing responsibility and scope.
• At least 5 years of hands-on experience with Workday Financial Management, including implementation, configuration, administration, and support.
• Proven experience with Workday Grants Management and the sponsored research business processes.
• Strong background in developing Workday Financials and Grants reports, including custom and composite reporting.
• Experience working in or closely with higher education, research institutions, or other grant-funded organizations.
• Demonstrated ability to gather requirements, conduct gap analysis, and design effective system solutions.
• Strong analytical and problem-solving abilities with a keen focus on data quality and integrity.
• Excellent written and verbal communication skills, with the capacity to collaborate effectively across diverse stakeholder groups.
