This is a fully remote position, open to applicants in Oklahoma.
• Assist with daily contract administration and operational tasks.
• Maintain a comprehensive understanding of contract specifications, staffing frameworks, deliverables, and customer support operations.
• Act as the Deputy Program Manager and serve as an alternative point of contact when the Program Manager is unavailable.
• Aid in onboarding, staffing modifications, personnel tracking, and administrative coordination.
• Stay well-informed regarding contract documentation, processes, reporting obligations, and operational workflows.
• Prepare and manage Monthly Financial Reports (MFRs), funding trackers, burn rate analyses, and financial forecasts.
• Analyze financial data related to contracts to assist in customer inquiries, leadership reports, and program management decisions.
• Utilize Excel and various reporting tools to create accurate financial models, forecasts, and trend analyses.
• Remain knowledgeable about bill rates, labor categories, funding statuses, and sources of contract financial data.
• Ensure that all financial reports are complete, precise, and submitted on time.
• Oversee recurring contract deliverables such as status updates, financial reports, staffing changes, and customer action items.
• Collaborate with internal teams to collect necessary data and guarantee the accuracy of deliverables.
• Respond to customer inquiries promptly and professionally.
• Review work outputs for quality and completeness before submission.
• Proactively identify issues, risks, or gaps and communicate them to leadership.
• Maintain close coordination with the Program Manager regarding all contract activities.
• Exhibit ownership and accountability for assigned tasks.
• Participate in customer meetings, internal coordination calls, and discussions with leadership.
• Provide clear, concise, and professional communication with both customers and internal stakeholders.
• Promote continuous process improvement and initiatives aimed at operational efficiency.
• Bachelor’s degree in Finance, Business Administration, Accounting, Management, or a related field.
• Experience in supporting federal contracts, program management, or financial operations.
• Strong proficiency in Microsoft Excel, including the use of formulas, pivot tables, reporting, and financial analysis.
• Experience in preparing financial reports, projections, and contract deliverables.
• Excellent organizational skills and attention to detail.
• Ability to manage multiple tasks in a fast-paced environment.
• Strong written and verbal communication abilities.
• Capacity to work independently while contributing to a collaborative team atmosphere.
• Secret Government Security Clearance.
• Experience in supporting government clients or federal contracts.
• Familiarity with contract funding management, labor tracking, and financial forecasting.
• Experience in supporting Program Managers or acting in a deputy leadership capacity.
• Advanced Excel or data analysis expertise.
• PMP certification or experience in project/program management.
