This is a fully remote position, open to applicants in Bulgaria.
• Coordinate international business and leisure travel (including both commercial and private aviation).
• Oversee the management of visas, itineraries, VIP airport services, transfers, accommodations, and reservations.
• Organize luxurious travel experiences and fulfill special requests.
• Maintain loyalty programs, memberships, and arrangements for VIP access.
• Supervise multiple residences and collaborate with property managers.
• Manage schedules for maintenance, repairs, utilities, insurance, and service providers.
• Sustain vendor relationships and ensure the timely completion of all property-related tasks.
• Coordinate inventory management, supplies, and procurement for the household.
• Handle a complex calendar across various time zones.
• Arrange medical appointments, wellness programs, and personal schedules.
• Manage document filing, document management, and confidential records.
• Organize personal purchases, deliveries, and daily requests.
• Oversee registrations, insurance, servicing, and maintenance schedules.
• Work with drivers, workshops, and external providers for coordination.
• Maintain precise records and schedules for renewals.
• Assist with private events, family celebrations, and special occasions.
• Coordinate venues, vendors, caterers, and logistical arrangements.
• Support scheduling and administrative needs related to family matters.
• Liaise with lawyers, accountants, doctors, bankers, household staff, and external partners.
• Serve as the primary point of contact for all personal matters.
• Proactively resolve issues before they require escalation.
• Manage routine payments and track expenses.
• Coordinate invoices, receipts, and vendor documentation.
• Assist with monthly expense reporting and basic financial administration.
• A minimum of 5 years of experience supporting UHNWI, founders, executives, family offices, celebrities, or private households.
• Proven experience managing multiple areas simultaneously, including travel, residences, vendors, administration, and logistics.
• Strong understanding of luxury travel and premium service excellence.
• Exceptional organizational abilities and problem-solving skills.
• Capability to work independently with minimal supervision.
• High emotional intelligence and excellent communication skills.
• Absolute discretion and professionalism in all interactions.
• Ability to remain composed under pressure and manage shifting priorities.
• Fluent in Bulgarian and English.
• Must be based in Bulgaria, with a preference for Sofia.
• Flexible availability across various time zones as required.
• Willingness to travel occasionally, if necessary.
