This is a fully remote position, open to applicants in California.
• Deliver thorough administrative and operational assistance to the Executive Director.
• Oversee calendars, appointments, and logistical arrangements for meetings.
• Monitor tasks, priorities, and follow-up items to guarantee timely execution and accountability.
• Compose, edit, and manage correspondence, reports, internal documents, and document organization systems.
• Handle and oversee logistical and booking arrangements related to travel.
• Coordinate communication with vendors, venues, materials, and scheduling for team events, off-sites, and retreats.
• Represent GEM in a professional manner during interactions with external partners, Board members, vendors, and donors.
• Minimum of 2 years of experience in administrative support, executive assistance, or office operations.
• Proficiency in English.
• Experience in supporting senior leaders or executive-level staff.
• Excellent written and verbal communication skills.
• Familiarity with travel coordination and event logistics.
• Expertise in Google Workspace, Microsoft Office, and common remote collaboration tools.
• Outstanding organizational skills, initiative, and attention to detail.
• Ability to exercise discretion and maintain a high level of confidentiality when managing sensitive information.
• Proven track record of promoting a diverse, inclusive, and equitable workplace.
• Experience and/or interest in energy, climate, sustainability, open data, or related sectors.
• Capability to self-manage and prioritize various tasks in a remote work setting.
