This is a fully remote position, open to applicants in United States.
• Act as the Executive Assistant to the Chief of Staff and Senior Vice President of Innovation & Delivery, overseeing a complex calendar that aligns with business priorities.
• Take ownership of and enhance the SVP’s rhythm of business, which includes leadership meetings, one-on-ones, all-hands meetings, planning sessions, business reviews, and offsite events.
• Organize both internal and external meetings, ensuring agendas, pre-reads, decision logs, action tracking, and communication schedules are in place.
• Manage domestic and international travel arrangements, including itineraries, expenses, and logistics, resolving issues as they arise and occasionally traveling to assist the SVP.
• Act as a trusted thought partner to maximize the executive’s time and focus.
• Develop board- and executive-ready presentations and briefing materials utilizing AI tools.
• Identify and implement AI-driven workflows for managing correspondence, meeting notes, and status updates.
• Coordinate leadership meetings, onsite visits, and executive events.
• Monitor priorities, decisions, milestones, and action items across cross-functional initiatives.
• Collaborate with leaders in Innovation & Delivery, the Office of the CEO, and other departments to enhance communication and execution.
• Create scalable administrative processes and adopt modern collaboration tools.
• Provide backup coverage for other executives as needed.
• Manage confidential information with the utmost discretion and confidentiality.
• A minimum of 5 years of experience supporting senior executives in a dynamic, high-growth environment.
• Exceptional attention to detail while balancing competing priorities.
• Proactive and resourceful, with the ability to anticipate needs effectively.
• Strong communication skills with executives and stakeholders.
• Good judgment and discretion in all dealings.
• Highly organized and adaptable to changing circumstances.
• Advanced proficiency in Google Workspace and modern collaboration and project management tools.
• Confident and active use of AI tools for drafting, synthesizing research, and summarizing meetings.
• Capability to create polished, executive-ready presentations or briefing documents from initial notes.
• Ability to provide light coordination support across various initiatives.
