This is a fully remote position, open to applicants in California.
• Proactively assist the CEO in achieving optimal operational efficiency. As the primary support for our CEO, you will manage intricate calendars, resolve scheduling conflicts, coordinate travel arrangements, and eliminate administrative distractions, while also providing support to other executives when possible.
• Deliver outstanding remote-first executive assistance. Since most of your tasks will be performed virtually, you need to be proactive, responsive, and considerate in supporting leaders from a distance. You'll have the intuition to know when to act swiftly, when to pose the right questions, and when to exercise judgment.
• Facilitate critical leadership events. You will be instrumental in coordinating and preparing for Board meetings, executive offsites, and other significant gatherings where attention to detail is crucial and the experience must be seamless.
• Collaborate across teams. You will closely partner with the CEO, other members of the Executive and Senior Leadership Team, as well as cross-functional stakeholders and board members, to ensure effective communication and well-organized logistics.
• Develop systems that facilitate team scaling. You will seek opportunities to streamline recurring processes, from travel arrangements and meeting preparations to Board materials and executive coordination.
• Extensive senior Executive Assistant experience with a CEO: You possess 3–5 years of experience working as a senior Executive Assistant to a CEO or business unit leader.
• Exceptional Executive communication: You excel in executive-level written and verbal communication, ensuring precision and professionalism while adjusting tone for different leaders and audiences.
• Strong prioritization and organizational skills: You are adept at discerning what is urgent, what can be deferred, and what requires escalation amidst the noise.
• Expertise in calendar and travel management: You are proficient in managing complex calendars for multiple leaders across various time zones and competing priorities. You can quickly evaluate trade-offs and provide thoughtful recommendations during scheduling conflicts.
• Experience in a remote work environment: You understand how to deliver high-quality executive support in a virtual setting, remain highly accessible and responsive during business hours, and know when to act promptly.
• Commitment to trust and discretion: Maintaining confidentiality and discretion is essential. Leaders can rely on you to conduct yourself with professionalism and sound judgment in both remote and in-person situations.
• Willingness to travel: You are prepared to travel up to 20% of the time for executive offsites, leadership gatherings, or other significant in-person engagements.
