This is a fully remote position, open to applicants in Philippines.
• Oversee personal accounting, reconciliations, and financial documentation for various accounts, including international assets.
• Accurately track and manage investment portfolios, income sources, and personal expenditures with precision and regularity.
• Administer personal tax responsibilities, trust distributions, and entity-level record management in accordance with Australian regulations.
• Act as the primary financial liaison, coordinating with the principal’s Australian accountant, legal advisors, and other consultants.
• Handle sensitive correspondence and ensure thorough administrative follow-up on all assigned tasks.
• Develop clear, decision-ready financial summaries and briefing documents for the principal upon request.
• Organize document storage, filing, and compliance deadline monitoring for all personal accounts and entities.
• Conduct comprehensive bookkeeping for a small portfolio of businesses, including a supplement company and a coffee roasting enterprise.
• Keep precise, up-to-date Profit & Loss statements, balance sheets, and cash flow reports for each business entity.
• Manage accounts payable and receivable for all businesses within the portfolio.
• Process payroll or interface with the payroll service provider as necessary for each entity.
• Prepare BAS submissions and GST reconciliations, and collaborate with Australian tax advisors to ensure compliance.
• Monitor inventory, cost of goods sold (COGS), and margin performance for product-based businesses while proactively addressing discrepancies.
• Provide a clear, actionable monthly reporting package for each business, tailored for a founder-level audience.
• Serve as the sole point of contact across all entities, ensuring the principal never needs to seek updates.
• Anticipate and highlight cash flow challenges, deadline risks, discrepancies, and anomalies before they escalate into issues.
• Maintain each entity in an audit-ready and organized state consistently, not just during year-end.
• Facilitate communication among external advisors to ensure all parties receive necessary information promptly.
• Take complete ownership of assigned administrative tasks and follow through diligently without needing reminders.
• CPA licensed.
• At least 5 years of experience in private client accounting and small business bookkeeping.
• Hands-on expertise in Xero, the primary accounting software used across the portfolio.
• Proven experience in product-based businesses: inventory management, COGS tracking, and gross-margin analysis.
• Ability to manage multiple entities simultaneously while ensuring accuracy and timeliness.
• Strong knowledge of BAS and GST — experience with Australian tax is highly preferred; candidates without this must demonstrate a clear, credible plan for rapid upskilling.
• Proficient in written English, with exceptional discretion and proactive communication skills.
• Self-motivated and dependable in a completely remote contractor setting.
• **Preferred Qualifications**
• Familiarity with trust structures, investment income management, and multi-entity financial consolidation.
• Background in private client services, family office environments, or direct founder support.
• Competency with Google Workspace, cloud document management, and digital collaboration tools.
• Up to $11/hour.
