This is a fully remote position, open to applicants in Colorado.

📋 Description

• Oversee all U.S. health, welfare, and retirement programs (medical, dental, vision, life, disability, FSA/HSA, 401(k)), including processing eligibility, managing enrollments, facilitating plan modifications, and handling life events.

• Act as the main point of contact for all employee benefits questions, addressing issues with precision and confidentiality.

• Administer carrier EDI file feeds and payroll integrations, overseeing transmissions and rectifying interface discrepancies to ensure enrollment and funding accuracy.

• Conduct regular audits of eligibility files, payroll deductions, and vendor databases to ensure consistency with internal HRIS records.

• Oversee absence and leave management, collaborating with third-party administrators to guarantee precise processing of FMLA, ADA, STD, and LTD transactions.

• Ensure adherence to ERISA, ACA, COBRA, HIPAA, FMLA, and relevant state regulations, maintaining documentation that is always audit-ready.

• Administer government filings and compliance reporting, including Form 5500, ACA 1094-C/1095-C, PCORI, and necessary participant notifications.

• Stay informed on regulatory changes and evaluate their effects on plan design and operations, updating leadership and proactively implementing necessary adjustments.

• Create and maintain compliance documentation to support internal evaluations, audits, and government submissions.

• Lead the complete annual open enrollment process, including system configuration and testing, employee communications, enrollment assistance, and post-enrollment audits.

• Develop clear and accessible enrollment materials and decision-support resources to guide employees in making informed benefit selections.

• Verify all enrollment data and payroll deductions after open enrollment to ensure accuracy prior to the first payroll cycle.

• Manage daily interactions with brokers, carriers, and third-party administrators, ensuring vendors meet service standards and contractual obligations.

• Assist in the annual renewal process by collecting and analyzing plan performance data, benchmarking it against the market, and preparing summary recommendations for leadership consideration.

• Generate standard and custom reports from HRIS and vendor systems to aid operational decisions and compliance evaluations.

• Detect data trends or discrepancies and escalate findings to leadership with suggested corrective measures.

• Maintain and enhance SOPs and process documentation to improve accuracy, efficiency, and audit preparedness.

• Propose improvements to benefits processes and the overall employee experience as the family office continues to develop.


⛳️ Requirements

• 6–10+ years of progressive experience in benefits administration, with a proven ability to independently manage a comprehensive benefits program.

• Practical experience in administering health and welfare plans, retirement programs, and leave management.

• Proficiency in benefits administration platforms and HRIS systems (ADP, Workday, Dayforce, or equivalent), including management of carrier file feeds.

• Solid understanding of ERISA, ACA, COBRA, HIPAA, FMLA, and state leave regulations.

• Advanced Excel skills for data analysis, audit reconciliation, and reporting tasks.

• Exceptional attention to detail and the ability to handle sensitive personal and financial information with the utmost confidentiality.

• Self-motivated and adept at functioning in a lean, fast-paced, high-trust environment.

• Experience in a family office, private wealth management, or similarly streamlined and confidential setting. (Preferred)

• Previous involvement in benefits platform implementation or open enrollment system configuration. (Preferred)

• Familiarity with global or multi-jurisdictional benefits programs. (Preferred)

• CEBS, PHR, SPHR, SHRM-CP, or SHRM-SCP certification. (Preferred)
