This is a fully remote position, open to applicants in Colorado.

📋 Description

• Act as the main contact for intricate accounts payable issues and address inquiries from vendors and internal stakeholders.

• Process vendor invoices, employee reimbursements, and authorized payments using Ramp.

• Analyze invoice coding, approvals, credit card transactions, and accompanying documentation.

• Allocate client-related expenses to the correct billing matters in TimeSolv.

• Facilitate invoice approvals and financial processing while nurturing vendor relationships.

• Maintain vendor master records and tax documentation, including W-9 collection and 1099 support.

• Monitor essential vendors and payment deadlines.

• Reconcile vendor statements and rectify discrepancies.

• Generate weekly accounts payable aging reports and track outstanding liabilities.

• Ensure compliance with purchasing policies and approval protocols.

• Assist during month-end and year-end closing processes, including AP accruals, account reconciliations, and journal entries.

• Prepare financial analyses, operational metrics, and management documentation.

• Create accounts payable procedures and maintain documentation.

• Identify opportunities for process enhancements in AP workflows, internal controls, and automation.

• Analyze recurring payment patterns and propose cost-saving measures and efficiencies.

• Engage in department-wide, firm-wide, process improvement, and cross-functional initiatives.

• Provide backup for other finance functions as needed.

• Assist with biweekly payroll processing by reviewing documents.

• Generate payroll reports and reconcile payroll registers with the general ledger.

• Collaborate with HR regarding new hires, terminations, and payroll adjustments.

• Maintain payroll records and address internal payroll inquiries.

• Uphold strict confidentiality regarding payroll and employee information.


⛳️ Requirements

• Over 5 years of progressive accounts payable experience, ideally within a law firm or professional services setting.

• Proven knowledge of month-end closing procedures and general ledger accounting.

• Experience in supporting payroll processing is preferred.

• Strong analytical and problem-solving abilities with exceptional attention to detail.

• Capability to identify process enhancements and implement efficient workflows.

• Advanced proficiency in Microsoft Excel is preferred.

• Ability to exercise sound judgment when managing confidential financial information.

• Excellent organizational, time management, and interpersonal communication skills.

• Familiarity with Ramp and legal billing systems like TimeSolv is preferred but not mandatory.

• CAPP certification is preferred.

• A bachelor's degree in Accounting, Finance, Business, or a related field is preferred.

• Ability to communicate professionally and engage effectively with employees, managers, leadership, attorneys, support staff, and external partners.

• Ability to work independently while juggling multiple priorities and deadlines.

• Demonstrated attention to detail, reliability, organization, and follow-through.

• Flexibility to adapt positively to changing priorities and business needs.

• Ability to thrive under pressure and manage competing priorities while upholding accuracy and professionalism.

• Proficiency in a primarily computer-based environment involving extended sitting, screen time, typing, and standard office equipment.

• Capacity to occasionally lift and transport office equipment or materials weighing up to 10 pounds.

• Willingness to work occasional evenings or adjusted hours as necessary for onboarding, offboarding, or urgent operational requirements.
