This is a fully remote position, open to applicants in California, +2 more states.
• Act as the main point of contact for intricate accounts payable issues and address inquiries from vendors and internal stakeholders.
• Handle vendor invoices, employee reimbursements, and authorized payments through Ramp.
• Analyze invoice coding, approvals, credit card transactions, and accompanying documentation.
• Allocate client-related expenses to the correct billing matter in TimeSolv.
• Manage invoice approvals and payment processing while fostering vendor relationships.
• Maintain vendor master records and tax documentation, which includes W-9 collection and support for 1099 forms.
• Monitor critical vendors and payment deadlines.
• Reconcile vendor statements and address discrepancies.
• Generate weekly accounts payable aging reports and track outstanding liabilities.
• Ensure compliance with purchasing policies and internal approval processes.
• Assist with month-end and year-end closing activities, including AP accruals, account reconciliations, and AP journal entries.
• Prepare financial analyses, operational metrics, and management documentation.
• Develop and sustain accounts payable procedures and documentation.
• Identify opportunities for process enhancements in AP workflows, internal controls, and automation.
• Evaluate recurring payment trends and suggest cost-saving measures and efficiencies.
• Engage in departmental, firm-wide, process improvement, and cross-functional initiatives.
• Provide backup for other finance functions as necessary.
• Assist with biweekly payroll processing by reviewing relevant documentation.
• Generate payroll reports and reconcile payroll registers with the general ledger.
• Collaborate with HR on new hires, terminations, and payroll modifications.
• Maintain payroll records and assist staff with payroll inquiries.
• Uphold strict confidentiality regarding payroll and employee information.
• Over 5 years of progressive experience in accounts payable, ideally within a law firm or professional services setting.
• Understanding of month-end closing procedures and general ledger accounting.
• Experience with payroll processing is a plus.
• Strong analytical and problem-solving abilities with a keen eye for detail.
• Capacity to identify process improvements and implement efficient workflows.
• Advanced proficiency in Microsoft Excel is preferred.
• Good judgment when dealing with confidential financial information.
• Exceptional organizational, time management, and interpersonal communication skills.
• Familiarity with Ramp and legal billing systems like TimeSolv is preferred but not mandatory.
• CAPP certification is preferred.
• A Bachelor's degree in Accounting, Finance, Business, or a related field is preferred.
• Ability to communicate professionally with employees, managers, leadership, attorneys, support staff, and external partners.
• Ability to work independently while managing multiple priorities and deadlines.
• A strong attention to detail, reliability, organization, and follow-through.
• Flexibility to adapt positively to changing priorities and business needs.
• Ability to perform under pressure while maintaining accuracy and professionalism.
• Capability to operate in a primarily computer-based environment with extended periods of sitting, screen time, typing, and standard office equipment.
• Ability to occasionally lift and move objects weighing up to 10 pounds.
• Willingness to work occasional evenings or adjusted hours as necessary.
• Work authorization/location context: position is based out of the Texas, Colorado, or California office depending on the selected candidate.
• Salary range: $60,000–$73,000 annually.
