• Oversee the complete accounts payable process, which includes vendor setup and maintenance, invoice processing and coding, as well as payment preparation and execution.
• Execute high-volume, precise data entry into accounting systems while consistently maintaining a high standard of data integrity.
• Perform regular reconciliations of vendor statements, bank accounts, and accounts payable ledgers.
• Manage and supervise the AP inbox (Gmail), addressing vendor inquiries and internal requests promptly and professionally.
• Prepare and facilitate weekly payment runs, managing the necessary approval processes.
• Review all documentation to ensure accuracy and compliance prior to processing payments.
• Investigate and resolve discrepancies, including payment issues, adjustments, and refunds.
• Assist with month-end close activities, including accruals as needed.
• Serve as the primary point of contact for accounts payable-related inquiries throughout the organization.
• Identify and implement process enhancements to improve efficiency and accuracy within the accounts payable function.
• Collaborate with operations teams using ServiceTitan for job-related financial tracking and reconciliation.
• At least 5 years of experience in an Accounts Payable or a comparable finance role.
• Strong, demonstrable experience in managing full-cycle accounts payable processes from start to finish.
• Proven capability to handle high-volume data entry with a significant degree of accuracy.
• Substantial experience in reconciliations, including vendor statements, bank accounts, and accounts payable ledgers.
• Proficiency in Xero is required; candidates lacking Xero experience will not be considered.
• Experience in managing vendor communications and independently resolving inquiries.
• Skilled in Google Workspace (Gmail, Sheets, Docs) as well as Microsoft Excel / Office.
• Strong organizational and time management abilities, capable of managing competing deadlines.
• Excellent written and verbal communication skills in English.
• Comfortable working independently and reliably in a fully remote setting.
• **PREFERRED SKILLS (nice to have)**
• Experience in a senior or lead accounts payable role, including serving as a point of contact or providing guidance to junior team members.
• Familiarity with ServiceTitan is highly desirable, due to the company's trade services operations involving job management or field service platforms for financial tracking.
• Exposure to ERP systems such as Oracle, SAP Concur, or similar platforms.
• Experience with international payments or multi-entity accounting environments.
• A continuous improvement mindset, proactively identifying and driving process enhancements within the accounts payable function.
