This is a fully remote position, open to applicants in Colorado.
• The Secretary II role involves providing administrative assistance and advanced secretarial support while addressing a variety of situations, issues, and deviations in office operations according to general instructions, priorities, responsibilities, policies, and program objectives.
• Responsibilities of the Secretary II include, but are not limited to: screening telephone calls, visitors, and incoming correspondence; responding personally to inquiries related to office procedures; and determining which requests should be directed to the supervisor, relevant staff members, or other offices.
• Execute a diverse range of administrative tasks to support agency personnel, including but not limited to answering and directing incoming calls, managing calendars, welcoming guests, preparing Excel spreadsheets, and drafting and editing memoranda, letters, and other correspondence.
• Prepare standard, non-technical correspondence. The contractor will also draft communications for management's signature and arrange tentative appointments without prior approval.
• Organize conferences and meetings, gathering necessary background materials.
• Attend meetings to document and report on the discussions and outcomes.
• Review outgoing materials and correspondence for internal consistency and adherence to procedures; ensure that all necessary clearances have been obtained.
• Gather information from files or staff for routine inquiries about office programs or periodic reports, and assess non-routine requests as needed.
• Clarify required office procedures to subordinate staff members.
• Coordinate personnel and administrative forms for the office and forward them to the appropriate staff for processing.
• Safeguard and protect sensitive government information.
• Demonstrate the ability to manage multiple priorities and meet strict deadlines as required.
• Perform additional duties as necessary.
• A minimum of 2-4 years of general office experience, particularly in creating and editing electronic spreadsheets.
• Capability to review data spreadsheets and analyze sampling data.
• Familiarity with data systems and the ability to conduct qualitative and quantitative analyses.
• Proficient in MS Office, including Word, Excel, and Outlook.
• Applicants must be U.S. citizens and capable of obtaining a U.S. Government Security Clearance (with a positive credit history, no criminal record, favorable employment history, and no history of illicit drug use).
