Scheduling Support Coordinator – ABA Therapy, US Healthcare

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Engaging with RBTs (Registered Behaviour Technicians) to verify their availability, schedules, and any updates that may impact client sessions.

• Communicating with families and parents to provide them with scheduling updates, address any concerns, and ensure their expectations are met.

• Identifying new RBT/ABA Therapist candidates through various channels to meet the team’s ongoing staffing requirements.

• Assisting in the assignment of RBTs/ABA Therapists to clients, taking into consideration availability, location, and specific client needs.

• Keeping precise and current records of therapist and client statuses in the designated systems.

• Promptly notifying the relevant coordinator about any scheduling conflicts, staffing shortages, or unresponsive individuals.

• Composing and delivering professional written communications to both RBTs and families as needed.

• Aiding the broader scheduling and staffing team with administrative tasks as required.

⛳️ Requirements

• Exceptional verbal communication abilities — regular interaction with therapists, families, and team members is essential.

• Strong written communication skills — capability to craft clear, professional, and empathetic emails and messages.

• Previous experience in a coordination, scheduling, administrative, or client-facing support role is preferred.

• Familiarity with ClickUp and/or CentralReach is a substantial advantage.

• Knowledge of the ABA therapy field or a background in healthcare, disability services, or education is beneficial.

• Highly organized with a keen attention to detail and the capability to handle multiple follow-ups at once.

• Self-driven and proactive — able to foresee tasks that need to be completed and take action independently.
