Scheduling Coordinator

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Develop, oversee, and refresh schedules for RBTs/BTs to guarantee consistent client sessions, continuity of care, and compliance with authorization.

• Pair technicians with clients considering their availability, location, experience, and clinical requirements in partnership with the clinical team.

• Engage in clear and professional communication with staff, caregivers, and clinical supervisors regarding any schedule modifications, conflicts, and confirmations.

• Monitor staff availability, PTO, and scheduling preferences to enhance caseload coverage.

• Collaborate with BCBAs to spot and address service gaps while ensuring required treatment hours are met.

• Confirm that all sessions are scheduled in accordance with insurance authorization constraints and clinical recommendations.

• Keep precise and current scheduling data in the company’s EMR or scheduling system.

• Document and report open hours, staffing needs, and scheduling trends for ongoing enhancement and efficiency.

• Take part in team meetings and contribute to discussions regarding staffing and caseload distribution.

⛳️ Requirements

• Proven experience in or supporting an ABA agency or behavioral health clinic.

• Knowledge of insurance authorizations, session types (direct, supervision, parent training), and billing standards.

• Awareness of geographical constraints and regional planning for in-home session coverage.

• Exceptional organizational and time management abilities with the capability to prioritize competing tasks.

• Strong verbal and written communication proficiency.

• Familiarity with CRM platforms and scheduling applications (e.g., CentralReach, HIPP Health, Monday.com, etc.).

• Capacity to work autonomously and collaboratively within a fast-paced environment.

• Excellent problem-solving and critical thinking abilities.

• Competency in managing cancellations.
