This is a fully remote position, open to applicants in Florida.
• Arrange appointments with external network specialists for consultations and procedures requested by PACE Primary Care Physicians.
• Prioritize appointment scheduling based on Expected By Date and clinical urgency.
• Collaborate with clinical teams to ensure participant flow and timely access to care.
• Accurately record appointment information and updates in Epic.
• Act as a liaison between participants, caregivers, providers, and external specialist offices.
• Inform participants and families about appointment specifics.
• Coordinate intricate medical appointments, referrals, and specialty care services.
• Acquire and monitor consultation notes and diagnostic testing results.
• Oversee clinic scheduling workflows and the coordination of participant care.
• Provide front-office support, including participant check-in and appointment management.
• Prepare and coordinate authorizations for specialty referrals and services.
• Engage in Interdisciplinary Team meetings as needed.
• Manage schedule changes, transportation arrangements, medically necessary escorts, and coverage needs.
• Maintain documentation in Epic for organizational visibility.
• Assist with internal audits, quality reviews, and process improvement initiatives.
• Carry out other duties as assigned by the Regional Scheduling Manager.
• A minimum of 1 year of administrative, clerical, and medical administrative experience, including filing, record keeping, data entry, and customer service.
• At least 1 year of experience in scheduling.
• Recent experience in medical scheduling within the last 1–2 years of employment.
• 3–5 years of experience in customer service.
• Experience working remotely.
• Knowledge of medical terminology.
• Experience with EMR systems.
• Ability to satisfactorily perform each essential duty.
• Preferred: experience in a clinic healthcare setting focusing on geriatrics.
• Preferred: experience as a Nursing Assistant in home care, long-term care, daycare, or group home environments.
• Preferred: familiarity with Epic EMR.
• Completion of Florida Care Provider Background Screening Clearinghouse background screening is required.
