This is a fully remote position, open to applicants in Massachusetts.
• Coordinate and oversee the daily schedules for approximately five home assessment nurses located in Boston, Springfield, and Worcester, Massachusetts.
• Contact members via phone to arrange and confirm visits, encompassing both initial and follow-up assessments.
• Enhance scheduling efficiency by taking into account geographical locations, nurse availability, and member requirements to reduce travel time and improve overall productivity.
• Update the scheduling and EMR systems in real-time, ensuring accurate appointment and member details are maintained.
• Communicate swiftly with nurses and leadership regarding any changes in the schedule, urgent member requests, or cancellations.
• Monitor assessment completion rates and follow up on any pending appointments.
• Record outreach efforts, scheduling specifics, and any special instructions in the designated systems.
• Collaborate with internal teams to resolve any challenges related to scheduling or member engagement.
• Deliver exceptional customer service to members and their caregivers while ensuring confidentiality is upheld.
• Assist in quality improvement initiatives concerning scheduling workflows.
• Perform other duties as required.
• An Associate's degree or equivalent work experience is necessary; a Bachelor's degree is preferred.
• At least 2 years of experience in scheduling, coordination, or administrative positions within a healthcare environment.
• Familiarity with electronic medical records (EMR) and scheduling systems is essential.
• Experience in HIPAA-compliant or healthcare-related settings is required.
• Exceptional organizational, communication, and interpersonal skills are a must.
• Proven ability to multitask, prioritize, and adhere to deadlines in a dynamic environment.
• Intermediate to advanced proficiency in Microsoft Office and EHR platforms is needed.
• Ability to work independently with minimal supervision and adjust to shifting priorities.
• Comfort with technology and remote collaboration tools is important.
• Willingness to work a hybrid schedule, which includes occasional in-office meetings or training sessions in Massachusetts.
