This is a fully remote position, open to applicants in Philippines.
• Provide proactive support to the team through sales, prospecting, CRM management, speaker acquisition, and event administration for commercial and conference operations.
• Conduct research to identify potential exhibition clients, sponsors, partners, speakers, and industry contacts within relevant target sectors.
• Assist in outbound outreach efforts via email, LinkedIn, phone, and other authorized channels for the sales and conference teams.
• Implement structured outreach campaigns, ensuring follow-ups are timely, professional, and properly tracked.
• Assess inbound leads and direct relevant opportunities to the suitable sales team member.
• Maintain accurate and current sales and speaker pipelines, which include prospect information, activity notes, next steps, and outcomes.
• Utilize tools like LinkedIn Sales Navigator, Apollo, Zoho CRM, and similar platforms for researching, identifying, and engaging with prospects.
• Assist the conference team with speaker acquisition, encompassing initial outreach, confirmations, follow-ups, briefing information, and event preparation.
• Oversee speaker communications to ensure that confirmed speakers receive all necessary requirements, deadlines, materials, and event information.
• Organize, collate, and track speaker presentation decks and supporting materials in advance of each event.
• Keep accurate speaker trackers while supporting the administrative process from speaker identification to confirmed delivery.
• Handle daily CRM administration tasks, including updating records, logging activities, tracking pipeline progress, and ensuring data accuracy.
• Generate sales reports, pipeline summaries, briefing notes, meeting notes, and background research for the Head of Event Partnerships.
• Monitor follow-up schedules to ensure appropriate progress for leads, sponsor opportunities, partner discussions, and speaker communications.
• Assist in preparing proposals, presentations, sales materials, and other documents related to commercial or event activities.
• Schedule and coordinate meetings and calls for the Head of Event Partnerships, including calendar management and post-meeting follow-up support.
• Collaborate closely with account management and conference production teams to facilitate smooth transitions, event preparation, and coordination with clients or speakers.
• Provide general administrative assistance to the broader sales, partnerships, and events team as required.
• Perform additional position-level responsibilities as they arise.
• A Bachelor’s degree in Business Administration, Marketing, Communications, Events Management, Sales, or a related field is preferred.
• A minimum of 2-5+ years’ experience in sales support, business development support, CRM administration, events coordination, conference support, or a comparable commercial support role.
• Prior experience in supporting sales outreach, prospecting, lead qualification, pipeline management, or business development activities is highly valued.
• Experience in events, conferences, exhibitions, sponsorship, media, partnerships, or a dynamic commercial environment is advantageous.
• Strong knowledge of CRM systems is required, with experience in Zoho CRM being highly beneficial.
• Familiarity with LinkedIn Sales Navigator, Apollo, or similar lead generation, prospecting, or lead retrieval tools is desirable.
• Confident and professional communication capabilities across email, phone, LinkedIn, and other business communication platforms.
• Excellent written communication skills, with the ability to craft clear outreach messages, follow-ups, briefing notes, and stakeholder communications.
• Highly organized with a keen attention to detail and the capacity to manage multiple workstreams, follow-ups, deadlines, and stakeholder requests simultaneously.
• Comfort with outbound outreach, maintaining confidence, persistence, and professionalism when engaging prospects, sponsors, partners, and speakers.
• Strong administrative skills with the ability to maintain accurate CRM records, trackers, reports, files, and supporting documentation.
• Ability to prepare sales reports, pipeline updates, meeting notes, and background research accurately and efficiently.
• Proactive and self-motivated, capable of taking ownership of tasks, following through on actions, and working independently.
• Good stakeholder management abilities, with the capability to liaise professionally with internal teams, external clients, sponsors, partners, and speakers.
• Comfortable in a fast-paced events and conference environment where priorities may shift rapidly.
• Team-oriented, dependable, and willing to assist with sales, account management, conference production, and broader event operations.
• A genuine interest in events, conferences, partnerships, media, or commercial event operations.
