This is a fully remote position, open to applicants in Pennsylvania.
• Ensure the quality, integrity, and cleanliness of CRM data.
• Track pipeline activities while identifying gaps in information, stalled opportunities, process inefficiencies, and reporting discrepancies.
• Perform regular audits of sales records, contacts, accounts, opportunities, and activities.
• Confirm that sales opportunities are advancing through the CRM following established sales protocols.
• Aid in forecasting efforts by accurately tracking and reporting on the pipeline.
• Assist sales leadership in upholding pipeline governance and maintaining stage discipline.
• Generate and manage recurring sales reports, dashboards, and performance metrics.
• Examine historical sales activities, trends, conversion rates, and pipeline performance.
• Recognize patterns, opportunities, bottlenecks, and areas for enhancement.
• Support leadership with quarterly planning, sales reviews, and forecasting tasks.
• Facilitate the creation and upkeep of KPI scorecards and sales performance reporting.
• Prepare, process, and monitor customer order forms and agreements.
• Oversee DocuSign workflows and contract execution procedures.
• Conduct preliminary reviews of customer purchasing needs, legal terms, and onboarding documents.
• Collaborate internally to ensure efficient order processing and customer onboarding.
• Maintain pricing records, sales documentation, and internal reference materials.
• Act as a resource for sales team members on sales processes, pricing, forms, and procedural inquiries.
• Organize sales meetings, team reviews, and planning sessions.
• Prepare meeting agendas, take notes, document action items, and coordinate follow-up tasks.
• Assist in maintaining sales playbooks, process documentation, and internal knowledge resources.
• Support the onboarding and training of new sales team members.
• Help develop and maintain sales content, templates, and operational resources.
• Utilize CRM (Zoho), Microsoft 365, Teams, DocuSign, AI tools, and other business platforms to enhance productivity and efficiency.
• Employ tools like ChatGPT and AI-assisted technologies to streamline administrative duties, reporting, documentation, and workflow management.
• Identify opportunities for automating repetitive tasks and enhancing business processes.
• Aid in the implementation and adoption of new sales technologies and operational initiatives.
• Bachelor's degree or equivalent professional experience.
• 3+ years of experience in sales operations, sales administration, business operations, project coordination, or comparable roles.
• Strong proficiency with CRM systems such as Zoho, Salesforce, HubSpot, or Microsoft Dynamics.
• Advanced skills in Microsoft Office, especially Excel, Teams, Outlook, Word, and PowerPoint.
• Outstanding organizational and time-management skills.
• Strong analytical and problem-solving capabilities.
• Ability to handle multiple priorities with minimal supervision.
• Excellent written and verbal communication skills.
• High attention to detail and a commitment to accuracy.
• Proven ability to learn and adapt to new technologies rapidly.
• Experience supporting B2B sales organizations (preferred).
• Experience in building reports, dashboards, and KPI tracking tools (preferred).
• Familiarity with sales forecasting and pipeline management (preferred).
• Experience with DocuSign or contract management platforms (preferred).
• Working knowledge of AI tools such as ChatGPT, Microsoft Copilot, or similar technologies (preferred).
• Experience in creating process documentation, workflow diagrams, or standard operating procedures (preferred).
