This is a fully remote position, open to applicants in United States.
• Provide administrative and operational assistance to Sales Leadership, which includes managing intricate calendars, scheduling meetings, and coordinating daily tasks.
• Organize internal meetings by preparing agendas, arranging logistics, tracking action items, and overseeing follow-up communications.
• Oversee and manage shared mailboxes, ensuring prompt responses and appropriate routing of communications.
• Maintain and update sales-related distribution lists, contact databases, and organizational directories.
• Process, monitor, and reconcile team expenses while keeping accurate records and documentation.
• Arrange travel plans, meeting logistics, and event planning activities for sales leadership and team members.
• Assist in the preparation and distribution of monthly, quarterly, and ad hoc sales reports, dashboards, and updates for leadership.
• Support the upkeep of accurate producer, leadership, and organizational contact lists.
• Compile, organize, and disseminate regional and enterprise sales metrics to aid in reporting and decision-making.
• Assist in documenting, tracking, and coordinating essential sales initiatives, programs, and projects.
• Create presentations, meeting materials, communications, and supporting documents for sales meetings, training sessions, and events.
• Coordinate timelines, deliverables, and follow-up tasks for cross-functional projects involving Sales, Marketing, Human Resources, IT, and other departments.
• Help organize regional meetings, leadership events, training sessions, webinars, and other sales-related programs.
• Manage confidential information with professionalism while ensuring accuracy and discretion.
• Identify opportunities for enhancing administrative processes, improving workflow efficiency, and increasing operational effectiveness.
• A minimum of 5 years of experience in sales operations, executive support, business operations, administrative coordination, or a comparable role.
• Advanced proficiency in Microsoft Office Suite, especially PowerPoint and Excel.
• Strong organizational abilities with exceptional attention to detail and accuracy.
• Proven capability to manage multiple priorities, deadlines, and projects simultaneously in a dynamic environment.
• Excellent written and verbal communication skills with the ability to engage professionally across all organizational levels.
• Strong problem-solving abilities and a proactive, solutions-oriented approach.
• Capacity to handle sensitive and confidential information with discretion and professionalism.
• Experience supporting sales teams, business leaders, or senior executives is preferred.
• Familiarity with Salesforce, ZoomInfo, LinkedIn Sales Navigator, or similar sales and CRM platforms is preferred.
• Project coordination, meeting planning, or event coordination experience is preferred.
• Experience in the insurance industry is a plus, but not mandatory.
• An Associate's or Bachelor's degree in Business Administration, Communications, Marketing, or a related field is preferred.
