This is a fully remote position, open to applicants in United Kingdom.
• Serve as the primary owner and administrator of Kantata, overseeing configuration, user and role management, workflows, templates, permissions, and data integrity.
• Establish and uphold standards for the setup and maintenance of projects, tasks, roles, rates, and time within the tool to ensure data consistency and reliability.
• Manage timesheet and time-tracking governance, ensuring timely and precise submission and approval processes across the PS team.
• Oversee integrations and data flows between Kantata and related systems, including CRM (HubSpot), finance (Sage Intacct), and HR systems, collaborating with Operations and system owners to maintain accuracy.
• Offer daily support, training, and enablement to PS users while acting as the escalation point for tool-related issues and enhancement requests.
• Develop and maintain an accurate, up-to-date skills matrix for all PS resources, detailing skills, certifications, product and domain expertise, languages, and proficiency levels.
• Ensure that resource profiles in Kantata remain current to facilitate the matching of assignments to verified skills and availability.
• Identify capability gaps relative to current and anticipated demand, and incorporate these insights into hiring, partner/subcontractor, and training strategies.
• Create and sustain the beqom PS staffing model, translating the sales pipeline and delivery backlog into forecasted resource demand.
• Conduct ongoing capacity versus demand analyses to identify shortfalls and over-capacity before they impact delivery, recommending actions such as hiring, reskilling, reallocating, or engaging partners.
• Monitor and project billable utilization, actively minimizing unbilled time by redeploying resources to engagements, internal projects, or training as needed.
• Assign resources to customer engagements based on skills, availability, development goals, and cost, while balancing customer requirements with utilization targets.
• Contribute significantly to the improvement of PS margin by tracking margin drivers (utilization, staffing mix, blended internal/partner rates, and costs) and highlighting risks and opportunities to PS leadership.
• Demonstrated experience in resource management, workforce and capacity planning, or PS operations, ideally in a SaaS, consulting, or technology Professional Services environment.
• Practical experience in administering or functioning as a power user of a PSA tool, with a strong preference for Kantata (Mavenlink); experience with a comparable PSA tool is also considered valuable.
• Strong analytical and data skills, with proficiency in advanced Excel or Google Sheets and the ability to create models, dashboards, and reports.
• Solid commercial acumen with a comprehensive understanding of the factors influencing Professional Services margin, utilization, leverage, rates, cost, and mix, and a proven record of utilizing data to enhance these metrics.
• Exceptional stakeholder management and communication skills in English, with the capability to influence delivery, finance, and leadership stakeholders.
• Highly organized, capable of managing multiple competing priorities while resolving resourcing conflicts in a calm and fair manner.
• A proactive, problem-solving approach coupled with a strong focus on data quality and process discipline.
• Experience in managing a blended workforce of internal and partner/subcontractor resources, including partner onboarding, rates, and cost reconciliation.
