This is a fully remote position, open to applicants in California.
• Oversee a team consisting of Administrative Managers, legal assistants, receptionists, office coordinators/supervisors, administrative assistants, and interns.
• Supervise and coordinate the staffing ratios and workflow of legal assistants and attorneys.
• Manage the timekeeping of direct reports by reviewing and approving weekly timecards, PTO requests, and overseeing hours, breaks, and overtime requests.
• Evaluate staff performance, provide coaching and guidance, address performance challenges as necessary, and conduct annual performance reviews for direct reports.
• Possess a basic understanding of employee relations and be capable of executing related tasks.
• Handle recruitment processes by reviewing and vetting resumes, conducting interviews, and securing final hiring approvals.
• Manage onboarding responsibilities, including setting up office seating, ensuring office services and IT have established workstations, and created required user accounts, as well as offboarding tasks.
• Collaborate with business leaders to ensure that the needs of various departments are met.
• Work together in the development and implementation of training programs for assigned staff.
• Collaborate closely with firmwide Directors and Managers to enhance and enforce firm policies and procedures.
• Ensure that the office environments are operational, safe, and adequately supplied with necessary materials.
• Engage with property managers and oversee vendors to support office operations.
• Organize, schedule, and promote office events such as monthly breakfasts, happy hours, holiday parties, staff meetings, and partnership meetings.
• Monitor costs and expenses to assist in the preparation of budgets.
• Some travel may be required; other duties may be assigned as necessary.
• A Bachelor’s degree in business administration, management, or a related field is preferred.
• At least 5 years of experience in a management or supervisory role within a professional service environment.
• Capability to work independently with minimal supervision in a fast-paced, dynamic environment.
• A strong determination and desire to drive continuous operational improvements.
• Effective communication skills to interact with all levels of management.
• Ability to handle sensitive information with confidentiality.
• Proficiency in MS Office applications.
• Strong skills in Excel and DocuSign are preferred.
• Ability to manage multiple tasks, prioritize effectively, and meet tight deadlines.
• Excellent organizational skills to optimize workflow and efficiency.
