• Take charge of the complete interview scheduling process for two EMEA recruiters, coordinating seamlessly across UK, European, and APAC time zones without missing a detail.
• Oversee candidate communications, ensuring that every interaction is timely, professional, and provides a premium candidate experience.
• Keep candidate records updated in the ATS, guaranteeing that pipeline data is accurate and ready for audits at all times.
• Prepare and distribute interview materials, agendas, and panel briefs prior to each interview loop.
• Proactively identify and address scheduling conflicts, bottlenecks, or gaps in the process — take initiative without waiting for direction.
• Assist the team with various administrative tasks including job postings, reporting, and logistical support.
• Independently coordinate with stakeholders — hiring managers, panelists, and candidates — without requiring oversight on standard workflows.
• 1–2+ years of experience in recruiting coordination, executive coordination, or high-volume administrative roles.
• Outstanding organizational skills with a demonstrated ability to manage multiple competing priorities without oversight.
• Excellent communicator in written and video formats — clear, concise, and professional in every interaction.
• High sense of urgency: you recognize that delays in scheduling can negatively affect the candidate experience and impact the business.
• Comfortable working independently in a remote, fast-paced setting — you don't need a manager to guide your next steps.
• Confidently manage logistics across multiple time zones with ease.
• Familiarity with Greenhouse (ATS) or Gem is a significant advantage — but if you haven't used them, you will adapt quickly.
• Located in the UK with the capacity to work UK business hours.
