This is a fully remote position, open to applicants in Alabama, +12 more states.
• Ensure the integrity, accuracy, and confidentiality of student academic records.
• Track and verify student enrollment and degree information for official internal and external reporting.
• Manage reporting and compliance with the National Student Clearinghouse and National Student Loan Data System.
• Validate data, address errors, and uphold reporting system rules and configurations.
• Interpret and relay academic, registration, and enrollment policies and procedures.
• Work collaboratively with university partners to resolve intricate registration and records challenges.
• Assist in end-of-term processing, academic standing assessments, and graduation/degree conferral procedures.
• Maintain systems and processes for transcript issuance and enrollment certification.
• Update student identification details in the Student Information System following the appropriate documentation.
• Provide support for the Registrar’s Office operations using Banner, SoftDocs, Parchment, and National Student Clearinghouse.
• Daily scan and index documents, completing records processing tasks using Microsoft Office.
• Generate established and ad hoc reports and datasets for staff and campus stakeholders.
• Create or configure custom reports while managing application software setup, testing, and documentation.
• Identify potential areas for system enhancement, modernization, and integration.
• Design and conduct training sessions and workshops on system functionalities and records processes.
• Develop and oversee enterprise system rules, requisites, codes, and configurations for enrollment reporting.
• Process requests for enrollment and degree verifications, transcript requests, and other student record inquiries.
• Safeguard, archive, and manage confidential student transcripts and records in compliance with FERPA.
• Address high-volume inquiries related to registration, graduation, transcripts, holds, and academic records.
• Perform additional duties as assigned.
• Take direction from the University Registrar.
• Bachelor’s degree is mandatory; Master’s degree is preferred or a suitable combination of education and experience.
• 5 to 7 years of progressive experience in student records, enrollment reporting, and compliance functions.
• Proven experience supporting records, reporting, and compliance in a higher education environment.
• Familiarity with curriculum and academic program structures, and service to diverse student populations, including adult learners.
• Ability to comply with legal requirements and regulations, including FERPA and Enrollment Reporting, while maintaining confidentiality.
• Strong working knowledge of Student Information Systems (SIS) platforms, particularly Ellucian Banner.
• Understanding of data governance, FERPA compliance, and integration with reporting systems.
• Ability to analyze complex systems and facilitate process improvements and automation.
• Experience supporting Financial Aid, Advising, and Registrar’s Office functional units.
• Knowledge of admissions and other student service policies and procedures.
• Strong understanding of project planning, management, and implementation concepts.
• Familiarity with third-party records and reporting services, including the National Student Clearinghouse.
• Ability to manage transmission, validation, and error resolution processes effectively.
• Proficiency with SoftDocs, Parchment, scanning, indexing, and records imaging practices.
• Capability to design and deliver training and workshops.
• Expertise in business process mapping and systems optimization.
• Knowledge of business intelligence and data analysis concepts.
• Skill in gathering, organizing, and analyzing complex technical data.
• Skill in employing logic and reasoning to evaluate alternative solutions and approaches.
• Excellent interpersonal and communication skills for engaging with diverse individuals and groups.
• Ability to swiftly learn new computer applications and administrative software.
• Capability to implement new systems and procedures and assess their effectiveness.
• Intermediate knowledge of Microsoft Office Suite, including Word, Excel, and Outlook.
• Experience with Ellucian Banner, Workday, SoftDocs, Target X, Salesforce, Common Application, and Argos.
• Basic familiarity with SQL, Java, or HTML.
