
Rebate Filing and Reconciliation Specialist

This is a fully remote position, open to applicants in United States.
• Supervise rebate filing operations across OpCos to guarantee accuracy, compliance, and punctuality.
• Manage rebate structures (“phantoms”) within ERP systems.
• Collaborate with Finance and Pricing teams to confirm filings and assist with month-end close.
• Investigate and address reconciliation variances and data discrepancies.
• Work with OpCos and stakeholders to uncover root causes and implement solutions.
• Monitor open issues, escalate risks, and ensure resolutions are achieved promptly.
• Maintain and refine rebate Standard Operating Procedures (SOPs) across OpCos.
• Promote the adoption of standardized processes and controls.
• Create training materials and job aids to foster consistency.
• Oversee rebate tracking and reporting throughout the organization.
• Analyze trends, identify risks, and deliver actionable insights.
• Provide updates to leadership and stakeholders.
• Assist with vendor-led rebate and system implementation projects.
• Coordinate ERP setup, testing, and ensure readiness for go-live.
• Collaborate with IT and business teams to guarantee a smooth rollout and adoption.
• Minimum of 4 years of experience in rebate processing, pricing operations, accounts receivable, or a related field.
• Proven experience in supporting month-end close and reconciliation processes.
• Proficient in Excel (including pivot tables and lookups).
• Familiarity with ERP systems.
• Ability to handle multiple priorities in a fast-paced, deadline-oriented environment.
• Strong attention to detail and exceptional problem-solving abilities.
• Comfortable collaborating across functions and influencing without direct authority.
• Excellent communication skills—capable of conveying updates, risks, and recommendations to stakeholders.
• Bachelor’s degree in Business, Finance, Analytics, Information Systems, or a related discipline (or equivalent experience).
