This is a fully remote position, open to applicants in Kentucky, +11 more states.
• Oversee and maintain project trackers and milestone reports for Quality.
• Produce status updates and reports for Quality leadership.
• Initiate Statements of Work and monitor their approval status.
• Track Purchase Order approvals while coordinating with Finance, Procurement, and vendors.
• Supervise PO status and keep records of expenditure and contract documentation.
• Assist with vendor onboarding and related documentation requirements.
• Route quality-related documents through the necessary review and approval workflows.
• Ensure that documentation is completed, approved, and archived in accordance with established procedures and quality standards.
• Maintain well-organized electronic records and tracking systems.
• Coordinate and submit requests for sample shipments to testing facilities.
• Monitor sample shipments and verify receipt.
• Collaborate with Quality Control, Quality Assurance, Supply Chain, Procurement, Finance, and external partners.
• Perform additional administrative and coordination tasks as assigned.
• A Bachelor's degree with 0–2 years of relevant experience is required.
• A degree in a scientific discipline such as Biology, Chemistry, Microbiology, Biochemistry, Pharmaceutical Sciences, or a related field is essential.
• Experience in a regulated pharmaceutical, biotechnology, or medical-device environment is preferred.
• Experience in Life-sciences Quality Assurance or Quality Control is highly desirable but not mandatory.
• Proficiency with Smartsheets is required.
• Experience in project coordination, operations support, quality systems administration, or similar duties is highly preferred.
• Strong organizational skills and the ability to handle multiple priorities effectively.
• Experience in tracking projects, schedules, milestones, and deliverables.
• Proficient in Microsoft Office, especially Excel, Word, Outlook, and PowerPoint.
• Excellent written and verbal communication abilities.
• Detail-oriented with a strong focus on accuracy and follow-through.
