This is a fully remote position, open to applicants in Washington.
• Overseeing and coordinating the prequalification process, ensuring that subcontractors are requalified annually and completing prequalification scorecards.
• Collaborating with the project team, estimating team, and proposal team to gather all necessary information for a Request for Proposal (RFP).
• Composing RFPs and confirming that all required information is made available for subcontractor review.
• Posting, organizing, and managing all bid events using Monday.com.
• Serving as the primary contact for subcontractors throughout their bidding process.
• Organizing and conducting all pre-bid meetings and acting as a liaison between the project team and subcontractors for site visit coordination.
• Collaborating with team members to ensure that all subcontractor Requests for Information (RFIs) are addressed and communicated to subcontractors promptly.
• Assisting subcontractors on the day bids are due to ensure their submissions are posted and formatted correctly.
• Coordinating internal and external reviews of subcontractor proposals.
• Working together with teams to assess and score subcontractor proposals according to established criteria.
• Providing training for subcontractors on the bid management software.
• Collaborating closely with estimating staff to identify subcontracted scopes and quantify subcontracted work.
• Acting as a liaison between the estimating and proposal management teams to ensure all teams are informed of changes and details related to subcontractor pricing.
• Serving as a liaison between the Supply Chain Management (SCM) team and subcontractors to ensure all parties have the necessary information for accurate bidding.
• Engaging with new subcontractors and facilitating their onboarding into the bid event system.
• Coordinating the subcontractor scoring process with internal teams.
• Organizing subcontractor proposals for submission in accordance with client and proposal requirements.
• Bachelor's degree in Business Administration, Construction Management, Communications, or a related field is preferred; equivalent work experience will be considered.
• A minimum of 2 years of experience in proposal coordination, subcontractor administration, estimating support, procurement, construction operations, or bid management.
• Experience in coordinating subcontractor prequalification processes, tracking annual requalifications, and evaluating scorecards.
• Proven capability to prepare, organize, and manage Requests for Proposals (RFPs) and subcontractor bid documentation.
• Strong experience in coordinating cross-functional teams, including project management, estimating, proposal management, and supply chain teams.
• Ability to manage communications with subcontractors throughout the bidding lifecycle, including RFIs, bid submissions, onboarding, and proposal reviews.
• Demonstrated ability to maintain accuracy, confidentiality, and professionalism while dealing with sensitive bid and proposal information.
