This is a fully remote position, open to applicants in Maryland.
• Oversee the implementation, administration, and enhancement of the proposal process under the guidance of the Director of Proposals.
• Facilitate the preparation and submission of proposals by managing timelines, monitoring deliverables, and ensuring adherence to solicitation requirements.
• Format and prepare Word documents with advanced formatting techniques while following detailed procedures.
• Assist in creating and maintaining proposal schedules, outlines, compliance matrices, communications, and plans.
• Organize and maintain the structure of proposal SharePoint sites for each project.
• Engage in the continuous enhancement of Growth Team processes, including tracking systems, recordkeeping, search systems, and content resources.
• Coordinate and take part in meetings and status calls.
• Support team members, including internal staff, corporate partners, consultants, and vendors, in preparing proposal inputs.
• Maintain content resources such as resumes and libraries of past performance.
• Conduct quality checks to ensure alignment with solicitation instructions, content plans, review feedback, and corporate standards.
• Identify and rectify all errors before submission.
• Assist in integrating win strategies, themes, and differentiators into proposals as directed by the Proposal Manager and Capture Manager.
• Prepare materials for and aid in color reviews, ensuring that feedback is documented and effectively incorporated.
• Participate in reviews, quality assurance, and provide constructive feedback.
• Support the production, reproduction, and final preparation of submissions.
• Implement robust configuration management procedures to ensure high-quality submissions.
• Assist in coordinating the development of presentations, meetings, discussions, and proposal revisions.
• Help document lessons learned and contribute to initiatives aimed at improving future proposal development processes.
• Advanced proficiency in Microsoft Word, including the ability to troubleshoot issues in a collaborative editing environment and advanced use of styles, multi-numbering, TOCs, and other useful features.
• Bachelor’s Degree in business, communications, or a related field, or equivalent professional experience.
• A minimum of 2 years of experience in supporting the development of compliant and competitive proposals for Federal Government contracts.
• Familiarity with the Federal Procurement process and the Federal Acquisition Regulation (FAR).
• Proficient in the MS Office Suite (Outlook, Excel, PowerPoint), Adobe Acrobat, and collaboration platforms such as MS Teams and SharePoint.
• Strong organizational and multitasking abilities, capable of managing multiple projects and meeting deadlines.
• Excellent written and verbal communication skills.
• High attention to detail and a strong commitment to accuracy.
