This is a fully remote position, open to applicants in Philippines.
• Oversee and revise lease trackers, deal trackers, and key date trackers
• Assist with weekly and monthly reporting updates
• Generate reports, dashboards, and executive reporting packages
• Maintain reporting templates and ensure uniformity across documentation
• Monitor reporting timelines and ensure on-time completion
• Keep precise property and lease data across internal systems
• Update ownership changes, lease renewals, amendments, and closures
• Reconcile property information across various systems to guarantee data integrity
• Detect inconsistencies and proactively address or escalate issues
• Ensure that all property records remain accurate and current
• Facilitate information exchange between Property, Legal, Finance, and Store Development teams
• Track action items arising from meetings and reports
• Follow up with internal stakeholders to confirm completion of outstanding actions
• Maintain organized workflows and ensure key milestones are met
• Support efficient day-to-day operations within the property function
• Provide diary management and meeting coordination for senior property leadership
• Assist with inbox management and scheduling tasks
• Prepare presentations, meeting materials, and supplementary documentation
• Coordinate meetings and maintain executive documentation
• Offer general administrative support to senior leadership
• Enhance and refine reporting templates and operational trackers
• Contribute to continuous improvement initiatives
• Aid in the implementation of new processes and operational frameworks
• Identify opportunities to enhance reporting accuracy and workflow efficiency
• Demonstrated experience in Property Administration, Property Coordination, Executive Assistance, or a comparable operations coordination role
• Advanced skills in Microsoft Excel, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, and data reconciliation
• Outstanding organizational and time management abilities with a keen attention to detail
• Strong analytical and reporting skills with experience in preparing executive packs
• Excellent written and verbal communication skills in English
• Confident stakeholder management skills with the capability to proactively follow up on pending actions
• Experience in supporting senior executives with diary and email management
• Ability to handle multiple priorities at once and work independently in a collaborative setting
• High level of integrity, accountability, and professionalism
• Willingness to work full-time in alignment with Australian business hours
• Nice-to-Have Skills
• Previous experience in the property or leasing industry
• Familiarity with specialized Property Management Systems such as Lease Eagle
• Experience using AI tools like ChatGPT or Microsoft Copilot for administrative support and document preparation
