This is a fully remote position, open to applicants in Philippines.
• Oversee the comprehensive administrative setup for newly acquired rental properties.
• Prepare lease agreements, Form 6 appointments, and associated property documentation.
• Accurately input and manage property and client data within the Eagle CRM system.
• Create engaging rental advertisements and post listings on various online property portals.
• Organize and uphold property records, documentation, and workflow tasks using Notion.
• Ensure the completion of all property administration tasks with precision and within designated timelines.
• Generate, schedule, and disseminate content across Instagram and Facebook.
• Design marketing collateral, including brochures, flyers, and social media graphics using Canva.
• Assist in the execution of property marketing campaigns and promotional listings.
• Manage Google Business Profile and follow up on reviews.
• Research and propose tools or strategies to enhance marketing performance and efficiency.
• Provide daily administrative and personal assistant support to the Director.
• Compose professional emails, client communications, and business correspondence.
• Offer sales administration assistance, including drafting contracts and coordinating sales documentation.
• Anticipate tasks and proactively take action on requests with minimal oversight.
• Develop, refine, and document Standard Operating Procedures (SOPs) as business processes progress.
• Assist with general administration, project coordination, and operational enhancements as necessary.
• Minimum of 3 years of experience as a Virtual Assistant, Real Estate Administrator, or in a comparable administrative position.
• Prior experience in real estate or property management is preferred.
• Exceptional written and verbal communication skills in English.
• Strong attention to detail and organizational skills.
• Proactive and capable of working independently while taking initiative.
• Familiarity with CRM systems (experience with Eagle CRM, Property Tree, or similar is a plus).
• Proficient in Canva, Google Workspace, and various social media platforms.
• Knowledge of Notion or a willingness to learn the platform.
• Comfortable utilizing AI tools such as ChatGPT or Claude to assist with written communication.
• Dependable, with a stable internet connection, backup options, and an appropriate home office setup.
• Nice to Have:
• Experience with Australian real estate platforms and portals.
• Familiarity with social media scheduling tools.
• Experience in creating SOPs or process documentation.
