This is a fully remote position, open to applicants in United Kingdom.
• Oversee and provide support to the Licensing Applications team.
• Facilitate daily and weekly stand-up meetings to monitor progress, share updates, and resolve obstacles.
• Educate new and existing staff on application procedures, council-specific prerequisites, and best practices.
• Address complex or high-risk cases and guide the team through their resolution.
• Complete online property license application forms for selective, additional, and HMO licenses.
• Organize and upload documentation in Airtable, HubSpot, or Google Drive.
• Monitor application progress and submit finalized applications to appropriate council portals.
• Conduct quality assurance for application submissions.
• Develop and maintain a comprehensive understanding of application requirements, forms, and processes across UK local authorities.
• Keep the team's knowledge base and internal guidelines up to date.
• Collaborate with the Licensing Product Manager to enhance the application process.
• Identify opportunities for automation and workflow enhancements.
• Provide operational insights for product and process development.
• Design and implement an audit process to ensure accuracy and compliance of applications.
• Review application samples, offer feedback, and identify trends.
• Maintain and enhance quality-control checklists, KPIs, and team standards.
• Establish relationships with letting agents and landlords and address complex or sensitive inquiries.
• Communicate with council officers regarding escalated or unusual cases.
• Keep accurate logs of applications.
• Report team performance, application volumes, and audit findings to senior stakeholders.
• Demonstrated experience in managing or leading a team, preferably within operations, compliance, or a related administrative role.
• Exceptional attention to detail coupled with a meticulous approach to accuracy and quality assurance.
• Strong working knowledge of, or the ability to swiftly learn, property licensing and local authority application processes.
• Excellent relationship-building abilities, with confidence in direct engagement with letting agents, landlords, and council officials.
• Experience in designing or enhancing processes and workflows.
• Strong written and verbal communication skills.
• Capable of working independently while managing multiple priorities across a team.
• Experience in property licensing, lettings, property management, or housing compliance is preferred.
• Experience dealing with UK local authorities, especially with web portals and public-facing interfaces, is preferred.
• Familiarity with Google Workspace is a plus.
• Experience in conducting audits or quality assurance processes is a plus.
• Experience collaborating with product teams to influence process or tool enhancements is a plus.
