• Oversee the workflow throughout the agency's creative pipeline, from the initial strategy intake to the final product delivery.
• Manage daily operations using the agency's bespoke project management tool and utilize Slack as your main communication platform.
• Assist the founder with client-facing responsibilities, including sending timely updates and reports.
• Organize and prioritize tasks across the team, ensuring a balance between capacity, deadlines, and evolving client priorities.
• Facilitate the agency's working rhythm, including kickoffs, status updates, deadline evaluations, and post-project reviews.
• Identify bottlenecks and inefficiencies in the workflow within the agency and suggest enhancements.
• Leverage AI tools to create updates, summarize discussions, automate repetitive tasks, and alleviate busywork for yourself and your team.
• Guide new team members through the agency's tools, workflows, and client context.
• Proactively identify risks by flagging potential delays, capacity challenges, or scope creep before they result in missed deadlines.
• A minimum of 2 years of project management experience within a creative, marketing, advertising, or production agency.
• A solid understanding of performance marketing and paid creative is highly advantageous.
• Exceptional written and verbal English communication skills.
• Practical experience in coordinating multiple client accounts or projects simultaneously without losing track.
• Proficient in project management tools such as ClickUp, Asana, Monday, or similar.
• Quick to learn new tools, including a custom internal tool that will be part of your onboarding.
• Familiarity with AI tools as an integral part of your daily tasks.
• Possess a strong sense of ownership over your work.
• Ability to remain composed under pressure and maintain a methodical approach.
• Fully remote work arrangement with consistent EST working hours.
• Freedom to manage the workflow within the agency, supported by leadership to implement improvements.
