This is a fully remote position, open to applicants in Texas.
• Deliver administrative and operational assistance to the Project Management Office (PMO)
• Organize both recurring and ad hoc meetings with clients and project team members
• Arrange meetings, oversee calendars, send out invitations, and manage logistics
• Create, update, and share meeting agendas
• Document meeting minutes, decisions, action items, and follow-up tasks
• Timely distribution of meeting materials and minutes
• Monitor action items and follow up with responsible parties
• Keep project documentation, team distribution lists, and contact lists up to date
• Assist in preparing project status reports, presentations, dashboards, and governance documents
• Aid in document management and version control
• Facilitate PMO processes, templates, and standards
• Oversee onboarding and offboarding processes for project team members
• Support access requests, introductions, orientation, access removal, and knowledge transfer
• Prepare and circulate project communications and notices
• Maintain project calendars and schedules for key events
• Organize and store project materials in appropriate repositories
• Keep project logs, trackers, and reporting tools updated
• Monitor assigned PMO activities and escalate issues as necessary
• Promote continuous improvement in PMO processes and procedures
• Bachelor's degree or an equivalent combination of education and experience
• Preferred bachelor's degree in business administration, information technology, engineering, or a related field
• Zero to two years of experience in project planning
• Familiarity with project management methodologies, including budget development, project planning, control and assurance methodologies, project management software, and finance and accounting principles
• Strong organizational skills to effectively balance and prioritize tasks
• Excellent interpersonal and presentation skills for engaging with team members and clients
• Proficient in personal computer and business solutions software
• Strong analytical and problem-solving abilities
• Effective communication skills
• Ability to thrive in a team-oriented environment
• Capability to navigate ambiguity and adapt to change
• Video cameras are required for all interviews and during the first week of orientation
• Must reside within the United States
