Project Manager – AI-First, Cross-Functional Delivery

This is a fully remote position, open to applicants in California.

📋 Description

• Take ownership of project delivery from start to finish. Monitor initiative progress across engineering, clinical, product, and operations teams. Identify blockers early, manage dependencies, and keep stakeholders updated without excessive communication.

• Facilitate sprint and delivery ceremonies. Lead planning sessions, standups, retrospectives, and reviews — focusing only on those that foster genuine alignment. Eliminate anything that doesn't add value.

• Create actionable specifications. Develop project briefs, PRDs, and task breakdowns that are well-structured, clear, and easily executable — by engineers, AI coding agents, or junior team members — with minimal revisions.

• Leverage AI to streamline tasks. Automate repetitive status updates, meeting notes, and reporting. Construct simple automations that liberate the team from low-value administrative work.

• Proactively manage risks. Detect scope creep, resource conflicts, and timeline shifts before they escalate into issues. Raise concerns with suggested solutions rather than just highlighting problems.

• Serve as the link between cross-functional teams. Product aims to deliver, Engineering requires clarity, Clinical has compliance needs, and Ops is focused on costs. You facilitate communication among all parties without sacrificing detail.

• Continuously enhance delivery processes. Review your own workflows. Eliminate ineffective practices. Maintain version control over successful rituals.

• Evaluate everything. Each initiative should have a baseline, target, and completion criteria. If you cannot determine whether something was successfully delivered, the specification was incomplete.

⛳️ Requirements

• Over 5 years of experience in project management, program management, or a delivery-oriented operations role within a software company or startup.

• Proven capability to manage cross-functional delivery across Engineering, Product, and Operations with minimal supervision.

• Experience using AI tools — you have automated your own tasks, developed workflows, or created prompts that have replaced recurring activities.

• Excellent written English skills — all communication is asynchronous, written, and in English.

• Competence in crafting specifications and project briefs that can be executed by AI agents and engineers with minimal back-and-forth.

• Proficient in project tracking tools: Linear, Jira, Asana, Notion, or similar platforms.

• Willingness to consistently work during U.S. business hours.

• Strong sense of agency — you identify issues, suggest solutions, and take action without waiting for direction.
