This is a fully remote position, open to applicants in Canada.
• Interpret approved contract stipulations and configure commercial terms in Sage along with supporting documents to ensure precise billing and revenue recognition.
• Establish and uphold client/project codes and related configurations.
• Validate contract pricing and revise fee structures as contract terms evolve.
• Execute client billing activities accurately and within scheduled timelines.
• Prepare and issue client invoices accompanied by complete supporting documentation.
• Maintain billing files and tracking to ensure that billings remain within approved budgets or purchase orders.
• Recognize and record revenue and costs within the accounting system.
• Monitor ongoing billings, investigate discrepancies, and resolve or escalate issues as necessary.
• Collaborate with Program Management and clients regarding invoice inquiries, approvals, contract modifications, billing, and revenue recognition.
• Identify changes in contract scope or pricing that necessitate change orders.
• Manage aged outstanding invoices, assist in dispute resolution, and provide documentation to expedite payment.
• Maintain records of accounting transactions and ensure documented, compliant, controlled processes.
• Keep supporting documentation aligned with audit and retention requirements.
• Collaborate with Finance and business teams to enhance billing and reporting processes.
• Support company-wide process improvement initiatives, ad hoc client requests, and internal/external audit assistance.
• Perform additional duties as assigned.
• Bachelor's degree in accounting, finance, business administration, or a related field, or equivalent experience is required.
• Fewer than 2 years of experience in billing support, contract administration, contract pricing, or a related field is required.
• Strong working knowledge of Microsoft Office applications.
• Previous experience with SAGE is considered an asset.
• Familiarity with contract administration.
• Proficient in Microsoft Excel, Word, and Outlook.
• Strong computer skills to operate efficiently with company systems and programs.
• Basic understanding of accounting practices and principles.
• Excellent organizational skills and attention to detail.
• Strong analytical, interpersonal, problem-solving, and decision-making abilities.
• Capable of effective communication both verbally and in writing.
