📋 Description

• Take ownership of the definitive inventory of technology vendors. Classify vendors based on expenditure, importance, and risk. Keep vendor records updated — including contract details, renewal timelines, contact points, and business owners — in the firm's vendor management system.

• Manage a proactive renewal calendar that provides 12–24 months of visibility. Initiate renewal processes 90–120 days prior to expiration. Prepare renewal documentation — including current status, usage metrics, market comparisons, and negotiation strategies — for IT and Procurement leadership.

• Oversee RFP / RFQ / RFI processes for new technology acquisitions. Facilitate the intake process, vendor sourcing, evaluation criteria, scoring, and award suggestions. Collaborate with firm Procurement and Legal for contract negotiations and execution.

• Create and sustain technology spending dashboards categorized by tower, vendor, business unit, and contract type. Monitor budget against actuals at the contract level. Generate TCO analyses, savings and cost-avoidance tracking, and quarterly spend variance reports for IT and Finance leadership.

• Classify technology spending utilizing Technology Business Management (TBM) Tower / sub-tower taxonomy. Enhance cost transparency and unit-economics visibility for IT, Finance, and business leadership.

• Liaise with Cybersecurity GRC for third-party risk evaluations, with Legal for contract risk assessments, and with Privacy for data-processing clauses. While this role does not directly manage those risk reviews, it ensures they are conducted with the necessary artifacts before contract execution.

• Keep precise metadata on all active technology contracts (duration, value, auto-renewal triggers, notice periods, SLAs, and key commercial clauses). Proactively identify contract risks — such as auto-renewal cliffs, missed termination opportunities, price-escalation triggers, and unfavorable end-of-term clauses.

• Manage the IT procurement intake workflow. Streamline cycle times. Develop standard intake forms, evaluation rubrics, and renewal playbooks. Evolve the function from tactical (transaction processing) to strategic (portfolio rationalization, vendor consolidation, structured negotiation).


⛳️ Requirements

• Over 3 years of combined experience in IT procurement, technology sourcing, project/program management, vendor management, or IT financial analysis.

• Comprehensive understanding of end-to-end procurement processes (intake → RFx → evaluation → contract).

• Strong financial analysis capabilities — skilled in creating and maintaining spending reports, budget variance analyses, and TCO models.

• Practical experience with software, SaaS, and IT service contracts — including renewals, true-ups, and contract administration.

• Advanced proficiency in spreadsheets (Excel) and the ability to quickly learn procurement, contract, and vendor management tools.

• Excellent organizational skills — capable of managing a portfolio of active contracts, renewals, and procurement projects concurrently.

• Strong written and verbal communication skills, including the ability to convey financial and contract information to non-finance stakeholders.

• Familiarity with Technology Business Management (TBM) taxonomy or other IT cost management frameworks.

• Experience reviewing IT contract terms for business risk — SLAs, indemnification, data-processing addenda, and auto-renewal language (business terms review, not legal review).

• Knowledge of software license models — per-user, per-feature, consumption-based, enterprise agreements, and the cost dynamics associated with each.

• Bachelor’s degree in Finance, Business, Information Systems, Supply Chain, or a related field — or equivalent relevant experience.
