Program Coordinator, Patient Safety, Equity & Engagement

This is a fully remote position, open to applicants in Canada.

📋 Description

• Deliver comprehensive administrative assistance to the Program Director, Senior Program Lead, and their team;

• Organize and oversee program-specific events and projects, including online initiatives and meetings aimed at fostering evidence-informed innovation within health organizations and establishing connections with health services leaders crucial to ESC's strategic goals;

• Assist in the coordination of programs broadly to support the team, which includes preparing briefing materials to facilitate program planning and execution;

• Manage various calendars for leadership and the Senior Program Lead (including meetings, project deadlines, etc.);

• Cultivate, sustain, and enhance relationships with ESC staff and partners, especially individuals with lived experience and members of the ESC patient partner network;

• Regularly reconcile travel authorization forms, expense claims, and credit card charges to keep the expense ledger current, as necessary;

• Organize internal and external meetings, speaking invitations and conference participation, and travel arrangements; prepare presentations and speeches; screen incoming calls, emails, and correspondence, responding independently whenever possible;

• Take quick notes for emails, letters, proposals, meetings, and events, and document action items for follow-up;

• Coordinate with external vendors to manage activities such as meetings and online programs (this includes planning workshops and arranging information sessions);

• Offer administrative support for online learning platforms; this encompasses taking the initiative to post content, troubleshooting participants' technical issues, and creating and implementing conceptual elements on the learning site.


⛳️ Requirements

• College diploma in Office Administration, Business Administration, or a related field; or an equivalent combination of education and/or work experience.

• A minimum of two (2) years of progressive experience in a dynamic work environment, preferably in a health or non-profit organization.

• Bilingualism (English-French) is preferred (Level C – advanced – English communication is required).

• Strong proficiency in the Microsoft Office suite and virtual environments.

• Asset: demonstrated experience in the health and health services sector, particularly in quality improvement or patient safety.
