This is a fully remote position, open to applicants in Philippines.
• Function as a hands-on manager, executing daily production activities alongside the team, which includes BOM calculations, PO creation, and managing documentation.
• Share responsibility for the daily workload with team members while upholding process discipline, accuracy, and accountability.
• Detect and rectify errors in real-time across production planning, purchasing, and documentation processes.
• Lead by example — this role involves both strategic oversight and active participation.
• Calculate raw material needs based on BOM across various SKUs and production runs.
• Reconcile on-hand inventory, prior overages, and open POs before making new purchases.
• Track and apply yield, loss factors, and surplus materials from previous production runs accurately.
• Ensure that material planning decisions are based on actual inventory levels rather than assumptions.
• Generate and issue precise purchase orders to suppliers and contract manufacturers.
• Oversee the entire inbound documentation process, which includes: Certificates of Analysis (COAs), packing slips and shipping documents, traceability and compliance documentation, and vendor/manufacturer communications.
• Maintain a comprehensive, consistent, and audit-ready paper trail for all transactions.
• Ensure that no material is received or approved without complete supporting documentation.
• Collaborate directly with contract manufacturers and co-packers involved in multiple active production runs.
• Issue production orders, monitor schedules, and proactively address delays.
• Manage the complete lifecycle from production confirmation to the receipt of finished goods.
• Hold vendors accountable for timelines, specifications, and documentation requirements.
• Raise risks, delays, and quality concerns as necessary while keeping clear communication records.
• Handle extensive, complex spreadsheets encompassing 150–200+ raw material suppliers.
• Maintain a high level of accuracy in a manual, process-intensive environment without reliance on ERP systems.
• Develop and enforce structured tracking systems across inventory, purchasing, and production.
• Ensure data integrity throughout all files, with a zero-tolerance policy for avoidable errors.
• Collaborate with Planning, Procurement, and Regulatory teams to synchronize production schedules with demand.
• Guarantee accurate material availability to support production timelines.
• Monitor production KPIs and identify risks affecting output, inventory, or timelines.
• Maintain audit-ready documentation and traceability systems consistently.
• Ensure compliance with GMP, quality standards, and regulatory requirements.
• Standardize workflows and enforce SOP compliance within the team.
• Promote continuous improvement in documentation accuracy and operational execution.
• Directly manage and develop team members while remaining actively involved in execution.
• Foster a strong culture of attention to detail, process adherence, and ownership among the team.
• Serve as the escalation point for issues while ensuring root cause analysis and resolution.
• Cultivate a culture of precision, accountability, and operational excellence.
• Practical experience in BOM management, including raw material calculations, yield/overage adjustments, and inventory reconciliation prior to purchasing.
• Advanced proficiency in spreadsheets within manual, non-ERP settings.
• Experience managing large, complex datasets involving 100+ suppliers.
• Demonstrated ability to maintain accuracy without system safeguards.
• Direct responsibility for PO issuance and management of inbound documentation, including COAs, packing slips, shipping documents, and traceability records.
• Maintain complete, audit-ready documentation trails.
• Proven experience as a player-coach.
• Comfortable executing daily operational tasks while leading a team.
• Leadership style that is not solely strategic or delegative.
• Experience working with contract manufacturers and co-packers, including production order issuance, schedule tracking and follow-ups, vendor accountability and escalation, and end-to-end management of production and documentation lifecycle.
• Strong attention to detail with a zero-error mindset in high-stakes operational environments.
• Ability to manage multiple production workflows, suppliers, and documentation streams concurrently.
• Must be willing to operate under Eastern Standard Time.
• Must be willing to utilize a time tracker to monitor productivity during working hours.
