This is a fully remote position, open to applicants in United States.
• Assist in the intake, monitoring, and coordination of requests for new or modified forms while adhering to established governance procedures.
• Operate under general supervision to design, create, and update forms for application, service, and claims workflows in collaboration with Operations, Product Development, Underwriting, Claims, Compliance, Product Filing, Legal, and other stakeholders.
• Suggest form design and delivery methods based on usability benchmarks and industry best practices.
• Oversee version control and enforce protocols for naming, storage, distribution, and decommissioning of forms.
• Manage form updates and implementation alongside internal teams to guarantee appropriate placement, timing, and stakeholder preparedness.
• Engage with internal stakeholders to provide status updates, clarify form specifications, and route inquiries or issues through established governance and escalation channels.
• Revamp forms by transitioning to electronic formats and facilitating automation when feasible while complying with regulatory and corporate standards.
• Assist in the compliance review of forms and related communications to ensure alignment with relevant state/federal regulations, company policies, and approved language.
• Coordinate changes driven by compliance through intake, review, approval, implementation, and post-release verification, while maintaining documentation, approvals, and audit-ready records.
• Manage the form inventory (including effective dates, state variations, required disclosures, and approved language) to ensure regulatory preparedness.
• Aid in reviewing form content, distribution, and utilization to identify potential compliance risks or gaps; highlight and escalate concerns, and assist in remediation efforts under supervision.
• Conduct periodic testing/quality checks using established checklists (e.g., ensuring correct versions are available in distribution channels and required notices/disclosures are included); respond to routine internal inquiries regarding form usage and compliance requirements, and direct complex issues to the appropriate partners.
• 3–5 years of practical experience in forms, print, or graphic design.
• High school diploma is mandatory; a bachelor’s degree is preferred.
• Preferred experience in records management, document control, and/or quality assurance within a regulated setting.
• Knowledge of life products, particularly in relation to regulatory or product compliance.
• Proficiency in form design and publishing software (e.g., Adobe InDesign, Adobe Acrobat Pro, digital PDF design, Adobe Experience Manager) and collaboration tools (e.g., Microsoft Office and SharePoint).
• Familiarity with electronic forms, fillable PDFs, or eSignature workflows.
• Strong written and verbal communication abilities.
• Capability to manage multiple tasks with a keen attention to detail.
