This is a fully remote position, open to applicants in United States.
• Collaborate on all aspects of shoot production from start to finish, including scheduling, location logistics, crew and vendor bookings, gear coordination, call sheets, and on-site production management.
• Produce a variety of shoots in the Bay Area and travel to markets such as Miami, San Diego, and other locations across the country.
• Develop and oversee production budgets, monitor expenditures, and manage vendor payments and reconciliations.
• Identify and maintain relationships with freelance crew members, rental houses, studios, and other suppliers in various markets.
• Organize vendors for company offsites and events, which encompass stage visuals, A/V production, and event photography.
• Communicate with interview subjects—often patients, caregivers, and advocates—with care, sensitivity, and professionalism.
• Act as the liaison between the video team and internal stakeholders, overseeing project intake, expectations, and communication across marketing and other departments.
• Assist in managing schedules and workloads for a post-production team comprising two senior editors and an assistant editor.
• Facilitate feedback rounds by consolidating stakeholder comments, translating them into clear, actionable guidance for editors, and ensuring revisions are completed on schedule.
• Ensure quality control for every cut that is submitted for review—versioning, delivery specifications, and meticulous accuracy are essential.
• Monitor projects and requests in Linear, maintaining a transparent status and clear dependencies.
• Over 7 years of experience in video production, with significant involvement in both field production and post-production coordination.
• Proven experience in independently executing shoots of various scales, including travel productions.
• Proficient in creating and managing budgets, negotiating with vendors, and processing payments.
• Strong organizational skills—able to build effective systems rather than just to-do lists.
• Exceptional communication with stakeholders; capable of diplomatically pushing back while keeping projects on track.
• Knowledgeable in post-production workflows (review platforms, versioning, delivery specifications); editing skills are not necessary, but familiarity with the terminology is important.
• Emotional intelligence and discretion are crucial; our subjects often share personal health narratives, and we respect their trust.
• Preferred: Experience in healthcare, documentary filmmaking, or brand storytelling.
• Preferred: Background in corporate events or live production, including stage visuals, A/V, and event photography.
• Preferred: Familiarity with Premiere Pro-based workflows.
• Preferred: Established crew and vendor connections in the Bay Area, Southern California, or other significant markets.
• Preferred: Experience using Linear or similar project management tools.
