This is a fully remote position, open to applicants in California.
• Distribute audit request packets to insured parties and agents.
• Oversee audit timelines and established follow-up schedules.
• Execute second and final audit requests when initial responses are not received.
• Keep track of outstanding audit requests and escalate issues with non-responsive accounts.
• Maintain follow-up dates and task reminders within audit management systems.
• Supervise and manage departmental audit inboxes.
• Provide responses to insured parties, agents, payroll providers, and internal departments.
• Direct inquiries to Accounting, Underwriting, or Audit Management teams.
• Answer and route phone calls for the Audit Department.
• Reach out to insured parties to request documentation, clarify information, or address audit-related inquiries.
• Document both inbound and outbound communications.
• Keep organized electronic records and correspondence.
• Review payroll documentation, tax records, subcontractor information, and operational descriptions.
• Identify any missing, incomplete, or inconsistent documentation.
• Solicit additional information from insureds as needed.
• Track received records and maintain notes on audit status.
• Prepare audit files for auditor assignments.
• Create progress notes to document audit activities.
• Upload, organize, and classify audit documents systematically.
• Verify policy information, locations, class codes, FEIN data, and supporting documentation.
• Ensure accurate record-keeping for audit readiness and compliance.
• Assist with status updates and workflow management across various systems.
• Prioritize audits that are older and time-sensitive.
• Manage workloads in accordance with quality and timeliness standards.
• Adhere to procedures for follow-ups, due dates, extensions, and handling non-productive audit processing.
• Collaborate with auditors, management, and team members to ensure efficient completion of audits.
• High school diploma or equivalent qualification.
• At least one year of experience in administrative roles, insurance, auditing, customer service, or office support.
• Excellent written and verbal communication abilities.
• Outstanding organizational and time management skills.
• Keen attention to detail and accuracy.
• Capability to manage multiple tasks and deadlines concurrently.
• Proficiency in Microsoft Outlook, Excel, Word, and other Microsoft Office applications.
• Competence in composing professional business correspondence.
• Preferred: Experience in insurance, premium audits, workers’ compensation, underwriting, or claims operations.
• Preferred: Familiarity with payroll records, tax documentation, and financial records.
• Preferred: Experience in workflow-based production environments.
• Preferred: Knowledge of audit, underwriting, or policy administration systems.
