
Personal Injury Intake Specialist – Medical Records

This is a fully remote position, open to applicants in Brazil.
• Oversee intake responsibilities and follow up on outstanding items to ensure prompt completion
• Deliver a compassionate and supportive experience for clients during the intake process
• Direct calls and inquiries to the appropriate team members as needed
• Act as the primary contact for incoming calls and inquiries
• Adhere to established firm protocols for obtaining and managing medical records
• Communicate with clients about documentation requests and case-related information
• Manage the firm's main phone line, ensuring calls are addressed professionally and efficiently
• Collaborate with attorneys and the legal team to enhance case preparation and workflow effectiveness
• Maintain accurate records and documentation related to cases within Filevine
• Obtain, organize, track, and preserve medical records and billing documentation
• Collect, verify, and accurately input client information into the firm's systems
• Conduct the complete client intake process from initial contact through information gathering and documentation
• 2-3 years of experience as an Intake Specialist
• Must have experience in managing medical records
• Preferred previous experience in client intake, customer service, legal support, or an administrative role
• Proficient in software: Filevine, RingCentral, Microsoft Outlook, Google Drive
• Capability to manage a high volume of calls and client interactions on a daily basis
• Exceptional organizational and multitasking skills
• Consistent ability to learn and adhere to established procedures
• Excellent verbal and written communication skills in English
