Payroll Officer

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Gather weekly timesheets and hours from temporary workers through email, phone, text message, and WhatsApp.

• Enter contractor hours into various Vendor Management Systems (VMS) according to client specifications.

• Provide weekly hours and payroll data between Thursday and Sunday for the corresponding week ending.

• Accurately input and process contractor expenses within required timelines.

• Update the internal payroll system to keep the Accounts team informed of all payments due.

• Ensure temporary workers are correctly categorized under either PAYE or outsourced Umbrella payment methods.

• Prepare and issue assignment confirmations/contracts that detail working hours, pay rates, client information, and assignment specifics.

• Verify weekly pay rates on VMS platforms, ensuring consistency with agreed internal rates.

• Monitor and maintain accurate weekly margins, ensuring pay rates, charge rates, and profitability are precise.

• Track assignment end dates on VMS systems and proactively follow up with temporary workers regarding contract extensions.

• Collaborate with consultants, accounts teams, umbrella companies, clients, and temporary workers to address payroll or contract inquiries.

• Keep precise payroll and contractor records in compliance with company procedures and standards.

• Ensure all payroll submissions are performed accurately and within stringent deadlines.

⛳️ Requirements

• Previous experience in payroll, recruitment payroll, or recruitment administration is preferred.

• Familiarity with Vendor Management Systems (VMS) is advantageous.

• Exceptional attention to detail and numerical accuracy.

• Strong organizational and time management abilities.

• Capability to handle multiple deadlines in a fast-paced environment.

• Excellent written and verbal communication skills.

• Proficient in Microsoft Office, especially Excel.
