This is a fully remote position, open to applicants in United States.
• Execute administrative duties and coordinate special projects for the Legal Corporate Services team.
• Provide support to Associate General Counsel(s), attorneys, senior leaders, and other legal executives with operational, administrative, and project management tasks.
• Maintain, monitor, and report on key data, active work portfolios, and team priorities.
• Set realistic deadlines, manage timelines, track progress, and ensure accountability for deliverables.
• Modify processes and apply recommended practices to enhance effectiveness.
• Prepare annual budgets and assist in budget development, financial monitoring, and reconciliation.
• Organize team meetings, recurring engagements, travel, internal and external events, and meeting logistics.
• Assist with the onboarding and offboarding of team members.
• Manage executive calendars as well as those of Associate General Counsel(s).
• Draft correspondence, presentations, reports, and briefing materials.
• Oversee expense reporting, purchasing, invoice processing, vendor management, and operational planning.
• Conduct non-routine research and analysis while following through on complex assignments.
• Manage sensitive and confidential information with utmost discretion.
• Maintain tracking systems and ensure adherence to organizational policies and external requirements.
• Communicate and collaborate with Corporate Services, legal teams, senior leaders, colleagues, staff, and stakeholders.
• Act as a trusted partner in prioritizing work, resolving issues, enhancing workflows, and achieving organizational goals.
• Travel occasionally and work flexible hours as necessary.
• Bachelor's degree and 2 years of relevant experience or an equivalent combination.
• Proficiency in MS Office 365, including Word and Excel.
• Familiarity with Workday, CoPilot, and/or SharePoint.
• Experience in coordinating administrative processes.
• Ability to generate reports and interpret data.
• Proficient in business writing, editing, and proofreading.
• Skillful in organizing time and managing various activities to meet deadlines.
• Experience working within cross-functional teams and communicating with a diverse range of individuals.
• Knowledge of business process analysis and/or improvement.
• Strong organizational skills with a keen attention to detail.
• Capability to adapt to a flexible and/or shifted schedule to accommodate different time zones.
• Ability to employ diplomacy and tact in building strong relationships and motivating staff.
